The Facilities department oversees all aspects of building maintenance and infrastructure on main campus as well as our Law Center in downtown Dallas— totaling over 300,000 square-feet of conditioned space. The department consists of two divisions: Facilities Operations and Custodial Services. Position Overview
The University of North Texas at Dallas invites applications for the position of Administrative Coordinator. This position is responsible for assisting the Director of Facilities in administrative operations and customer related services for the Facilities department. Coordinates activities and acts as department/area liaison handling issues that are very sensitive and confidential. This position serves as the primary contact for all administrative functions or departmental functions to include recommending and implementing administrative departmental procedures.
Minimum Qualifications
Bachelor's and one year of related experience; or any equivalent combination of education, training, and experience.
Knowledge, Skills and Abilities
Considerable knowledge of general office procedures and practices. Knowledge of University policies and procedures related to the area of assignment. Skill in making mathematical calculations and computations. Ability to keep complex records; to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats. Ability to establish and maintain good working relationships. Ability to communicate effectively orally and in writing. Ability to work without close supervision. Knowledge of safe working procedures related to work performed.
Preferred Qualifications

Job Duties
- Analyzes and makes recommendations on existing processes and is responsible for implementing approved changes. Responsible for developing new administrative processes.
- Analyzes and makes recommendations on existing processes and is responsible for implementing approved changes.
- Maintains an adequate inventory of office supplies and prepares purchase orders and approves invoices for equipment and supplies, and coordinates receipt of shipping, inventory management, asset tagging, and asset management roles.
- Perform specialized administrative duties required to support the Director of Facilities, using discretion to make judgments based on operating guidelines.
- Responsible for nonroutine correspondence, data compilation and analysis, preparation of reports, forms, meeting notes.
- Other duties as assigned.
- Responsible for the management of administrative operations for the Facilities department.
- Maintain records of facilities operations, contracts, and compliance documentation.
- Assist in planning and coordinating logistics for the Facilities Department.
- Organize and maintain digital and physical files related to the Facilities Department.
- Processing invoices, purchase orders, contracts, and expense reports related to the Facilities Department.
- Communicate office needs to the Director. Serve as a voice for staff personnel for facilities.
- Assist in tracking departmental budgets and preparing financial summaries.
- Handle incoming calls, emails, and walk-in inquiries related to the Facilities department.
- Manage department budgets, process purchase orders for supplies and equipment, and assist with financial reporting.
- Assist with and manage various special projects to support department goals and initiatives.

- Lifting and Moving objects up to 20 pounds.
- Moving about to accomplish tasks or moving from one worksite to another.
