Department Summary

The Study Abroad Office is responsible for coordinating the university’s study abroad and exchange programs. Study Abroad has a mandate to expand student participation and to integrate study abroad into the UNT curriculum. We aim to develop new opportunities to meet the unique needs of the UNT community and increase student access to global educational experiences.

Position Overview

The Faculty-Led Programs Advisor supports the development, implementation, and administration of an assigned group of faculty-led study abroad programs at the University of North Texas. This position integrates advising, program development, and operational coordination to ensure academically sound, cost-effective, and accessible programs.
Working in collaboration with faculty and campus partners, the role manages the full lifecycle of faculty-led programs—including program design support, student advising and recruitment, and coordination of administrative and logistical processes. The position serves as a primary resource for faculty and students, ensuring compliance with university and federal policies while promoting global learning opportunities and supporting program participation growth.

Minimum Qualifications

Bachelor's degree or any equivalent combination of education, training and experience. Must be eligible to serve as a Designated School Official under U.S. Department of Homeland Security requirements.

Preferred Qualifications

The preferred candidate will possess the following additional qualifications:
* Master’s degree in International Education, Higher Education Administration, or a related field
* Experience in study abroad administration, with a preference for faculty-led programs
* Experience in program development, advising, and student recruitment within a higher education setting
* International experience (study, work, or residence abroad)
* Proficiency with Terra Dotta, PeopleSoft, and business expense management systems (e.g., Coupa)
* Demonstrated ability to build effective working relationships, work independently, take initiative, and handle confidential information

Job Duties

  • Program and Administrative Support - Supports faculty in the development and proposal of faculty-led programs by advising on best practices, logistics, and compliance requirements. Facilitates the program proposal approval process, assists with implementation planning, and supports the development of program budgets. Contributes to the design and delivery of pre-departure orientations for students and faculty; participates in program-specific orientations as needed. Provides ongoing administrative support to faculty and participants before, during, and after programs. Maintains program and participant data in Terra Dotta, ensuring accuracy, completeness, and data integrity. 
  • Program Operations & Administration - Coordinates administrative processes across all phases of the faculty-led program lifecycle. Manages academic coordination, including course creation and student registration. Initiates and monitors student program fee billing and refunds. Coordinates travel requests and expense reconciliation for faculty and support staff. Provides the Financial Aid and Scholarships Office with program-specific cost of attendance information. Monitors and tracks budgeted program expenses to ensure alignment with approved budgets; identifies variances and supports budget adjustments and reconciliation processes. Collaborates with campus partners to improve processes and ensure efficient workflows. Assists with official office communications related to faculty-led program processes for students, faculty, and staff.
  • Student Advising and Recruitment - Oversees student recruitment and advising for an assigned portfolio of study abroad programs. Represents the Study Abroad Office at campus events (e.g., new student orientations, student organization meetings), program information sessions, tabling events, and on social media. Collaborates with faculty to design and deliver marketing materials and recruitment events. Responds to requests for information from faculty, staff, and external organizations regarding program details. Advises and supports students and faculty throughout the application process and provides ongoing support before, during, and after programs, including guidance related to non-emergency health, safety, and risk management considerations.
  • General Marketing and Outreach - Conducts information sessions, financial aid workshops, and promotional presentations to support student engagement. Contributes to marketing campaigns and outreach events to increase student participation. Supports official communications related to faculty-led programming.
