Position Overview
The HR Administrative Specialist serves as the first point of contact for employees and visitors, ensuring a professional and welcoming environment. This role provides essential administrative and compliance support to the HR team, including managing communication channels, maintaining HR resources, and assisting with onboarding and events. The position also acts as a compliance liaison for I-9 documentation and serves as the in-office contact for safety and emergency protocols.
Minimum Qualifications
Associate's degree and two (2) years of moderately responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training.

* Knowledge of accounting/budgeting procedures
* Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others
* Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats
* Ability to conceptualize, plan and organize multiple assignments effectively
* Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness
* Skill in developing and maintaining good working relationships
* Knowledge of policies, practices, procedures and terminology of assigned function

Job Duties
- Visitor and employee support
- Greet and assist visitors and employees.
- Provide general HR information and direct inquiries appropriately.
- Manage main phone line and HR inboxes.
- Sort and distribute incoming mail.
- Maintain HR inventory (forms, supplies, etc.).
- Compliance (I-9)
- Serve as I-9 Subject Matter Expert (SME).
- Manage I-9 documentation and reporting processes.
- Act as point of contact for building safety and emergency protocols.
- Administrative and event support
- Assist with HR event setup and logistics.
- Support onboarding tasks and Teams events.
- Prepare spreadsheets, presentations, and assist with data entry.
- General Office Coordination
- Monitor office needs and coordinate with vendors if necessary.
- Maintain organized filing systems.
- Provide backup support for other HR functions as needed.

Generally Monday - Friday, 8:00 a.m. - 5:00 p.m.
