Department Summary
The TRIO Programs department at the University of North Texas is seeking to hire a Senior Administrative Coordinator to join our team. TRIO Programs are federal outreach and student services programs designed to support students with a financial need gain access to college. TRIO programs support students who identify as low-income, first-generation college students, and individuals with disabilities navigate the academic process toward higher education beginning in middle school.
Position Overview
This position is responsible for providing administrative support to a fast-paced department by way of office management, budget oversight and reconciliation, and payroll processes. The Senior Administrative Coordinator is responsible for all administrative functions of the office and provides support to 5 grant programs. This position reports to the Executive Director of Orientation and Transition Programs.
Minimum Qualifications
Bachelor's Degree and five years' of highly responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training.

Job Duties:
- Manages clerical operations of the department, and supports a department with 13 full-time staff members, graduate assistants, and student employees
- Responsible for the upkeep of multiple databases including the tracking of student participation information, mail and email communications
- Provides and accurate ledger of fiscal matters for multiple grant and discretionary accounts including accurate tracking of participant costs for all department spending
- Prepares budget reports monthly and as requested by program directors
- Facilitates the processing of all goods and service contracts with purchasing and legal departments
- Processes purchase orders, IDT’s, and travel documents for department staff
- Oversees human resources processes and procedures (including payroll, new hire onboarding, and timekeeping) for the department
- Provides interpretations of policies and procedures related to travel, employment, and purchasing for departmental staff
- Analyzes and makes recommendations for office operational needs, including equipment, workflow and materials
- Responsible for departmental inventory of supplies and equipment and completes annual asset reports
- Serves as the office liaison with financial aid to complete annual work study agreements and process departmental scholarships • Provides backup to the front desk staff when necessary by answering incoming phone calls, emails, and greeting visitors to the department
- Supports all programs and initiatives originating out of the department
