Department Summary

The College of Biomedical and Translational Sciences at UNTHSC has three multidisciplinary departments that include Physiology & Anatomy, Pharmacology & Neuroscience and Microbiology, Immunology & Genetics. CBTS takes great pride in shaping the future of the biomedical workforce with three focus areas: education, student service and research. Our students are educators, researchers, and health care professionals of tomorrow. The research areas of CBTS are diverse and include cardiovascular, neuroscience, health disparities, vision science, genetics, immunology, molecular biology, nanotechnology, pharmacology, and numerous other areas

Position Overview

This position is responsible for providing executive, administrative, and analytical support to the Associate Dean for Undergraduate Education and the faculty and students in the Bachelor’s of Science in Biomedical Sciences programs (BS-BMSC). Responsible for a variety of complex decisions and administrative services including management of the programs’ operational workflow, managing student records, and onboarding new students. This position interacts with offices including President, Vice Presidents and/or external constituencies while maintaining sensitivity to confidentiality and protocol. Coordinates activities and acts as university-wide liaison. Identifies issues or problems and researches solutions within specific management areas.

Minimum Qualifications

Bachelor's degree and two (2) years of related experience; or any equivalent combination of education and experience.

  • Advanced Microsoft Office skills.
  • Knowledge of accounting/budgeting procedures.
  • Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.
  • Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
  • Ability to conceptualize, plan and organize multiple programs and assignments effectively.
  • Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
  • Skill in developing and maintaining good working relationships.

Preferred Qualifications

  • Two (2) or more years of administrative or academic support experience in higher education.

Job Duties

  • Provides administrative support to the Assistant Dean for Undergraduate Education and the undergraduate biomedical science program (BS-BMSC) faculty.
  • Performs student wayfinding and limited academic advising; processes petitions for academic program changes; updates academic records; assists students with class information; distributes orientation information; receives and tracks various documents.
  • Maintains confidential files; coordinates records between University departments; serves as liaison for the school and university partners.
  • Prepares agendas, minutes, and makes arrangements, such as coordinating catering for luncheons, for committee, community, and other meetings.
  • Maintains and enters information into databases.
  • Manages paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as attendance records ,correspondence, or other material.
  • Prepares invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software.
