The College of Liberal Arts and Social Sciences (CLASS) Dean’s Office provides central administrative and operational support for UNT’s largest academic unit. The office partners with departments and university leadership to support academic programs, faculty affairs, budgeting, personnel processes, and college-wide initiatives while advancing student success.
Position Overview
Located in the Executive Dean’s Office of the College of Liberal Arts and Social Sciences (CLASS), the primary responsibility of the CLASS Dean’s Office Senior Administrative Specialist is to coordinate and process travel arrangements, reimbursements, and related documentation for CLASS faculty, staff, students, and guests, ensuring compliance with University policies, timelines, and budget requirements.
In addition, the position serves as the primary front desk presence for the CLASS Dean’s Office, acting as the first point of contact for visitors, callers, and other inquiries. The role also supports daily administrative operations, advancement and development activities, helps with events, and is a good team player when needs arise. This position requires a high level of customer service, organization, discretion, and the ability to manage competing priorities in a public-facing environment.
Minimum Qualifications
Bachelor's degree and one year of highly responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training.
Knowledge, Skills and Abilities
-Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures and terminology.
-Knowledge of, or the ability to learn, University policies and procedures.
-Skill in customer service orientation by actively looking for ways to help people.
-Skill in communicating effectively in writing as appropriate for the needs of the audience.
-Skill in using computer applications including spreadsheet, database and word processing software.
-Skill in identifying complex problems and reviewing related information to develop and evaluate options and implement solutions.
-Ability to communicate effectively in both oral and written form.
-Ability to analyze, organize and prioritize work under pressure and to meet multiple deadlines.
-Ability to establish and maintain a good rapport with university faculty and staff, students, and the general public.
-Ability to work successfully as a member of a team and independently with moderate supervision.
Preferred Qualifications
-At least one year of front desk/reception customer service in a professional office setting.
-Knowledge of University travel systems such as Coupa or similar travel/expense management platforms.
-Prior experience coordinating travel, reimbursements, or financial documentation in a complex organizational environment.
-Previous experience in higher education a plus.
Job Duties
- Coordinate and process travel bookings, reimbursements, and related documentation for CLASS faculty, staff, students, guests, and job candidates, ensuring compliance with University policies and deadlines.
- Track travel requests and reimbursement progress; follow up proactively with travelers and departments to prevent delays or issues.
- Serve as the primary front desk contact for the CLASS Dean’s Office by greeting visitors, answering and routing calls, and responding to inquiries.
- Provide administrative support to CLASS Development Officers, including correspondence and donor reporting.
- Purchase office supplies and incidentals for the Dean’s Office using P-Card and Marketplace in accordance with University policies.
- Assist with planning and logistical support for CLASS events, Advisory Board activities, and leadership meetings.
- Maintain scheduling and reservations for shared resources such as conference rooms and golf carts.
- Receive cash and checks in accordance with University cash handling procedures and complete required annual training.
- Perform related administrative duties as assigned to support the efficient operation of the CLASS Dean’s Office and the General Academic Building.
