Position Overview
This position will play a crucial role in supporting the day-to-day operations of the Dean's Office and will provide direct support for the Associate Dean for Research, Associate Dean for Faculty Success & Student Experience and Executive Director of Development as well as manage and coordinate all college wide events and conferences. This position is a front-line position and will greet all visitors, students, faculty and staff who may enter the office.
Minimum Qualifications
Bachelor's Degree and three years' of highly responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training
Knowledge, Skills and Abilities
- Exceptional customer service skills.
- Advanced Microsoft Office skills.
- Knowledge of accounting/budgeting procedures. Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.
- Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
- Ability to conceptualize, plan and organize multiple programs and assignments effectively.
- Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
- Skill in developing and maintaining good working relationships.
- Knowledge of policies, practices, procedures and terminology of assigned function.
Preferred Qualifications
UNT institutional knowledge of systems, i.e. People Admin, ePar, Concur, and UNT Marketplace. Calendar management and scheduling experience.
Job Duties:
- Office coverage and reception responsibilities: answering phones, maintaining the appearance and ensuring the suite and workspaces are presentable, greeting all visitors, faculty, staff and students who may enter the office.
- Direct administrative support for the Associate Dean for Research, Associate Dean for Faculty Success & Student Experience and Executive Director of Development, which include but not limited to, maintain calendar, schedule meetings, provide assistance with any project or program, process travel, expense reports and purchases.
- Manage/coordinate all college wide events and conferences, which include but not limited to, senior design day, college/department open house, Engineers week, Distinguished Engineering Lecture Series and commencement receptions.
- Schedules the Deans Conference Room, Auditorium, and classrooms for meetings, additional class functions and/or outside events.
- Responsible for all major purchases for the Deans accounts including any HEAF fund purchases.
- Maintains alumni, board member and donor database.
- Maintains email and phone group databases for faculty and staff in the College of Engineering as well as Discovery Park staff.
- Provides back up and support to the Executive Assistant to the Dean and other Sr. Administrative Specialist as needed.
