Position Overview

The Senior Administrative Coordinator provides high-level administrative and operational support for the College of Education, with primary responsibility for coordinating purchasing activities in accordance with university policies and State of Texas requirements. The position manages purchasing and reimbursement processes, maintains purchasing documentation, supports financial and personnel transactions during peak periods, develops procedures, and trains administrative staff. Additional responsibilities include coordinating catalog review, curriculum changes through Curriculog, supporting COE Academic Affairs, administering faculty and staff awards, and compiling program data for institutional reporting and national surveys.

Minimum Qualifications

Bachelor's degree and five years of highly responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training.

Bachelor's degree plus experience within an academic department. Technical skills to include data analysis, purchasing, and travel experience

Job Duties

  • Serve as the College of Education Purchasing Coordinator. Complete purchasing for area departments through PCard and requisition processes, maintain PCard records, support monthly reconciliation, and assist with faculty and staff reimbursements.
  • Compile data for preparing Purchase Orders using State of Texas laws and regulations, and University policies.
  • Research competitive bidding for high dollar items using both the State of Texas contacting system and vendors outside that system if necessary.
  • Create and maintain documentation for College of Education Purchasing processes and provide training to other administrative staff in the college on policies processes and procedures.
  • Assist with departments ePARs, student travel reimbursements, ABAs and IDTs during peak times such as summer payroll and fall ePARs Track administrative procedures for curriculum changes through Curriculog and support the Academic Affairs Committee by preparing materials for monthly meetings and taking minutes.
  • Coordinate catalog review with departments to update general information pages and complete needed edits and changes.
  • Coordinate awards processes for College of Education faculty and staff.
  • Gather, organize, and submit College of Education program data twice yearly for the U.S. News & World Report survey on online and graduate programs.
  • Other duties as assigned.
