Department Summary
Since 2006, the Dallas Environmental Education Initiative (EEI) has been a cornerstone of water conservation education in the Dallas area. Our dedicated five-member team—comprising a program director, two certified educators, a graduate student researcher, and an administrative coordinator—works collaboratively to deliver impactful learning experiences across the community.
Position Overview
The administrative coordinator supports the EEI Director by managing daily administrative operations to ensure smooth program logistics and office functionality, contributing to EEI’s educational outreach success. Key Responsibilities: · Budget: Track and manage budget. · Reporting: Prepare monthly reports and invoices for the City of Dallas. · Procurement: Purchase classroom materials; process IDOs, ePROs, Pcard, and travel vouchers. · Data & Website: Maintain internal database and EEI website. · Office & Meeting: Handle correspondence and schedule rooms. · Workorders: Coordinate the repair of broken furniture, office equipment, and vehicles. · Front Desk Operations: Greet visitors, manage mail/phones, issue parking permits. · Daily Office Management: Open office by 8:00 AM, close at 5:00 PM. · General Support: Perform additional duties as needed to assist the EEI team.
Minimum Qualifications
Bachelor's degree and two years of highly responsible and varied office administration or business management experience; or any equivalent combination of education, training, and experience.
Knowledge, Skills and Abilities
Knowledge:
· Budgets and chart strings. · Understanding of administrative policies, practices, procedures, and terminology relevant to the assigned function. · Working knowledge of Microsoft Office applications (Word, Excel, Outlook, Access). · Familiarity with database entry and reporting. · Awareness of customer service principles and front desk operations.
Skills:
· Exceptional customer service skills with a professional and welcoming demeanor. · Effective written communication skills for correspondence, documentation, and reporting. · Proficiency in Microsoft Office Suite and other office productivity tools.
Abilities:
· Ability to work under pressure and adapt to frequent changes in priorities and procedures. · Ability to manage multiple assignments with accuracy and attention to detail. · Ability to maintain records and organize data. · Ability to prepare and submit reports in acceptable formats and within required timelines. · Ability to handle confidential tasks with discretion, tact, and resourcefulness. · Ability to work independently and collaboratively in a team-oriented environment
Preferred Qualifications
The preferred candidate will possess the following additional qualifications: Ability to manage multiple tasks on projects with fast paced environment. Strong verbal and written communication skills.

Job Duties
- Assistance to the Director in budget management. · Preparation of IDOs, ePro requisitions, material purchasing, and travel vouchers · Scheduling conference rooms and updating webpage · Collect, review, and submit vehicle usage logs monthly · Enter data into EEI Database and Executive Summary for all events
- Monthly create reports and invoices and submit them to City of Dallas · Assist the Director in overseeing the EEI budget Coordinate repair and upkeep of office items and vehicle
- Scheduling conference rooms and updating webpage · Greeting visitors, sorting mail, answering phones, obtaining visitor permits
Physical Requirements
Communicating with others to exchange information.
Lifting and Moving objects up to 50 pounds.
Moving about to accomplish tasks or moving from one worksite to another.
Repeating motions that may include the wrists, hands and/or fingers.
Operating motor vehicles or heavy equipment.
Sedentary work that primarily involves sitting/standing.
