Department Summary

UNT Dallas College of Law's experiential education is woven into the curriculum to develop practice-ready competencies, featuring practicum courses, an externship program, the Joyce Ann Brown Innocence Clinic, and the Community Lawyering Center. These programs provide practical experience through clinic work, client representation, legal training, and community engagement, preparing students for various legal roles through hands-on learning alongside faculty. 

Position Overview

The Office of Experiential Education employs the Legal Assistant in a blend of law office administrative activities and academic support functions. 

Position supports the College of Law Experiential Education Department which consists of the department Director, Assistant Director, Externship Director and faculty supervising attorney. Position covers a range of responsibilities and provides administrative and organizational support for these Department of Experiential Education activities; interfaces with students, faculty, staff, administrators, judges, lawyers, elected officials and the public; assists with budget management; assists with client files and correspondence; manages office correspondence; and engages in data collection through law office software and school learning platforms. staff, administrators, judges, lawyers, elected officials and the public; assists with budget management; assists with client files and correspondence; manages office correspondence; and engages in data collection through law office software and school learning platforms.

This position combines duties and responsibilities of a legal assistant and an academic administrative assistant. Position requires 1) work to support the Joyce Ann Brown Innocence Clinic, including management of incoming correspondence, maintaining and updating case entries into state database, coordinating visits to Texas prisons, management of files; and oversight of outgoing correspondence;
2) work to support the Community Lawyering Centers, our general services law offices including management of applicant waiting list; tracking applicant referrals; monitoring CLC Microsoft Teams phone calls and messages to route to appropriate supervising attorney and/or student; preparing and submitting attorney and student travel reimbursements; assisting with e-filing, eservice and tracking receipts; assisting with scheduling of court appearances as needed; and managing supplies and equipment needs for offsite legal offices; and 3) to support community workshops on legal topics and management of clients in outreach activities such as the Expunction Expo, the DL/ID Restoration Initiative, the Foster Youth Initiative and others.

Minimum Qualifications

Bachelor's and one year of related experience; or any equivalent combination of education, training, and experience.

Knowledge, Skills and Abilities

Considerable knowledge of general office procedures and practices. Knowledge of University policies and procedures related to the area of assignment. Skill in making mathematical calculations and computations. Ability to keep complex records; to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats. Ability to establish and maintain good working relationships. Ability to communicate effectively orally and in writing. Ability to work without close supervision. Knowledge of safe working procedures related to work performed.

Preferred Qualifications

Bachelors Degree in related field and 5 years of progressively responsible office administration experience Knowledge of Canvas Knowledge of Exam soft Considerable knowledge of university policies and procedures related to functional area (or ability to rapidly assimilate) Strong problem solving skills Ability to communicate effectively with diverse populations verbally and in writing Ability to develop and maintain effective working relationships Ability to work independently Knowledge of safety and security precautions appropriate to work performed

Job Duties

  • Maintains complex calendars and schedules appointments. Serves as administrative assistant to the Office of Experiential Education, maintaining calendar, appointments, correspondence and files.
  • Promptly completes assignments and keeps calendars for Director and Assistant Director.
  • Manages travel arrangements and travel vouchers Monitors and executes expenditures within budgets.
  • Assists the Director of Experiential Education in preparation of speeches, reports and in responses to official inquires.
  • Provides input and administrative support for proposed programs and operational changes.
  • Provides staff assistance in negotiation and administration of contracts and grants.
  • Maintains contact and liaison with other university offices and external agencies as requested.
  • Coordinates special assignments and projects.
  • Follows appropriate safety procedures and security measures related to work performed.
  • Understands and follows rules regarding principles of confidentiality relating to all office and student matters.
  • Organizes meetings and assists with special event logistics including room assignment; announcements; invitations; handout preparation and distribution; catering; logistical arrangements; and taking and transcribing minutes. Assists the Office of Experiential Education in preparation of workshops and other large scale programming.
  • Other duties as assigned.
  • Reviews communications of various types and refers to appropriate department, faculty, or staff for disposition.
  • Directs and relays telephone, fax, and email messages to the appropriate persons.
  • Monitors and maintains adequate levels of office supplies and administrative materials for assigned areas. Orders supplies for the Community Lawyering Centers and the Joyce Ann Brown Innocence Clinic as directed.
  • Creates and maintains filing systems.
  • Serves as a backup to other administrative assistants.
  • Reports to the Director of Experiential Education, and Oversees administrative operations in the Office of Experiential Education.
