The Institute for Health Disparities (IHD) conducts research, training and community outreach in the areas of minority health, health disparities and workforce diversity. Constituting the IHD are the Texas Center for Health Disparities, National Research
Mentoring Network, Texas CEAL Consortium, Diversity Training Programs, AIM-AHEAD and the NIMHD Endowment.
Position Overview
The Administrative Coordinator will work under he Principal Investigator of the AIMAHEAD Leadership /Administration Core within the AIMAHEAD Consortium. The Administrative Coordinator will provide clerical support of this program.
Minimum Qualifications
Bachelor's degree and one year of related experience; or any equivalent combination of education and experience.
Knowledge, Skills and Abilities
- Considerable knowledge of general office procedures and practices.
- Knowledge of University policies and procedures related to the area of assignment.
- Skill in making mathematical calculations and computations.
- Ability to keep complex records; to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats. Ability to establish and maintain good working relationships.
- Ability to communicate effectively orally and in writing.
- Ability to work without close supervision. Knowledge of safe working procedures related to work performed.
Preferred Qualifications
- BA/BS with minimum of 2 years related experience.
- Ability to plan, lead, and manage projects within deadlines.
- Excellent time management skills, including attention to detail, ability to problem solve.
- Excellent interpersonal skills and ability to work in multidisciplinary settings, as part of a team or independently.
- Outstanding oral and written communication skills.
- Ability to analyze data and prepare presentations.
- Experience with Google Docs, PeopleSoft and InfoReady or similar applications/platforms.
Job Duties:
- Manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, correspondence or other materials.
- Document and maintain monthly, up-to-date expense reports, expense receipts and all expense related backup documents.
- Perform other duties as assigned.
- Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software.
- Coordinate travel and reimbursements.
- Assist with coordinating in person events (i.e. reserving rooms, booking hotel rooms, and processing reimbursements related to travel).
- Maintain schedule and event calendars.
- Proofread work done by others to check for correct spelling and grammar, ensure that company form policy is followed, and recommend revisions.
- Provide support for AIMAHEAD events including coordinating catering, tracking payments, and reimbursements, and purchasing meeting materials.

Monday - Friday; 8:00am - 5:00pm
