Position Overview
Under the general direction of the Registrar, the Assistant Director will serve as a team leader ensuring quality in the daily operations of the Registrars Office. The Assistant Director oversees a variety of specialized duties related to student registration, degree audit, graduation processing, transcripts, reporting, confidentiality student records, and other student records functions. In addition, this position involves working independently toward general and specific results, devising new work methods, updating and streamlining data and processes on a number of electronic technological platforms, and meeting new conditions necessitating a high degree of ingenuity, initiative, and/or judgment and performs related duties included in this position.
Minimum Qualifications
Bachelor's Degree and five or more years' of progressively responsible experience in academic administration or a related field; or any equivalent combination of education, training, and experience.
Knowledge, Skills and Abilities
Demonstrated competency in administering services and operations in a college/university environment, including demonstrated skill in problem solving and change management. Knowledge of hiring, developing, supervising, and evaluating staff. Commitment to providing high-quality customer service. Ability to work in a collaborative results oriented environment. Consistently exercises initiative, tact, diplomacy, and professionalism. Evaluates and resolves problems. Establishes, motivates, and supports effective teams to meet objectives. Manages conflict, works collaboratively within office and with other university departments. Current knowledge of Federal educational laws and policies pertaining to education records. Ability to effectively use computer and information technology.
Preferred Qualifications
The preferred candidate will possess the following additional qualifications: Masters Degree. Experience working as a supervisor in a college or university registrars office.
Required License/Registration/Certifications
Job Duties:
- Assisting in the development and maintenance of appropriate data standards and process data requests.
- Ensuring compliance of federal, state, and institutional policies.
- Providing assessment of procedures and continual improvement of delivery of services.
- Monitoring registrar related regulatory changes and keep current on best practices within the enrollment management field.
- Ensuring integrity of academic data to allow for accurate reporting.
- Supporting ongoing system implementation and database management.
- Validating and/or correcting student data to produce timely and accurate reports.
- Interacting with other functional departments to solve registration problems.
- Representing the Registrars Office in a public speaking capacity both on and off campus and maintains records of these activities.
- Assuming authority of the Registrar in the Registrar's and Associate Registrar's absence.
- Performing other duties and responsibilities as assigned.
- Serving on office committees as assigned.
- Serving as functional liaison with Registrar to provide ongoing training to staff and resolve functional and/or training issues.
- Assisting in analyzing and supervising the data entry processes and communication systems within the Registrars Office ensuring accuracy and functionality and ultimately, timely communication with students.
- Supporting the operations necessary for the enrollment of students.
- Safeguarding the integrity of student records data and work to ensure necessary quality assurance measures are identified, put in place and maintained.
- Identifying systems needs and evaluate service solutions within the context of the student information system and recommend new and emerging technologies that support strategic, academic and enrollment objectives.
- Working closely with others within the Office of the Registrar, Information Technology, Strategic Analysis and Reporting, and others across the university on data and systems matters related to registration, timetabling, grading, student records, transcripts, data integrity, and operational reporting.
- Providing outstanding supervisory, presentation, written and verbal communication, as well as a demonstrated commitment to outstanding customer service.
- Working with the Registrar to provide guidance and answers to staff and students about registration and graduation aspects and processes for which the Office of the Registrar is responsible.
- Assisting with the research, analysis, and reporting of state and federal policies, development and implementation of university registration and academic records procedures, and the reporting on compliance strategies in support of the University's mission, goals and objectives.
