Department Summary

As the most-used service on campus and an essential component of education and research at the University of North Texas, the Libraries offer access to more than 6 million items (print and digital) along with expert personnel to assist patrons in achieving their academic and scholarly goals.
We provide innovative programs and support to enhance the relationship between teaching and learning at the University of North Texas.
The Access Services Department promotes and provides access to the collections of the UNT Libraries. As part of the Public Services Division, we strive to meet the information and research needs of library patrons through the services we offer.

Position Overview

The University of North Texas Library is seeking to hire a Course Reserves and Material Delivery Coordinator to join our Access Services Department.

Under the supervision of the Resource Access Manager, this position oversees and manages the operations of the Willis Library Reserves collection and the fulfillment of reserves requests made by university faculty and subject librarians. This position is responsible for processing course reading materials, both print and electronic, and making them available to UNT students. This position also trains the Digitization student assistant on physical material scanning and accessibility editing processes associated with reserves and oversees their reserves activities daily. This position contributes to evaluating workflows, updates manuals and procedures, upholds copyright policies, ensures accessibility, and maintains catalog records related to reserves collection. This position manages the Willis Library Self-Service Pickup, Faculty Delivery and Library Faculty/Staff Delivery Services, as well as the Willis Library Locker Service. This position also provides secondary support to the services desk by assisting with various user accounts/fines and fees tasks as needed.

Responsibilities of the position include but are not limited to:
• Manages the Reserves service, sets goals and priorities. Ensures that requests are being processed according to established timeframes and the service is high quality, efficient and timely for patrons. Provides feedback on reserves procedures, workflows, and policies. Keeps relevant staff manuals up to date. Understands and complies with policies for copyright, licensing, and accessibility. Compiles reserves statistical reports.
• Manages Willis Library Self-Service Pickup, Faculty Delivery, and Library Faculty/Staff Delivery services. Manages the Willis Library Locker service. Ensures items requested through the delivery and locker services are processed and fulfilled according to established timeframes and the service is high quality, efficient and timely for patrons.
• Assists the Resource Access Manager in hiring and evaluating resource access student assistants, communicating updates, changes, and reminders, hosting student meetings, and other duties according to the department’s student management protocols.
• Provides user and access services to library patrons. Services include course reserves, material delivery, circulation, patron accounts, payments, research assistance, troubleshooting technical issues, and other departmental tasks. Maintains knowledge of course reserves and Access Services policies and procedures.
• Responds to patron inquiries and issues via email, phone, and in-person. Monitors Circ email inbox, resolves issues, and responds to questions within established timeframes. Interacts with UNT patrons, UNT Libraries staff, and personnel from other institutions in a professional, friendly, cooperative, and helpful manner. Enters transactions in Ref Analytics.
Provides secondary support to the User Services Unit for user accounts, fines, and fees. Under the guidance of the Services Desk Manager, assists with various basic tasks as needed such as issuing Courtesy Cards, TexShare and OCLC cards in person and via online applications; providing financial transaction services and processing fines dispute forms; Food for Fines; and running regular lists or notices such as the reserves overdue lists.

Minimum Qualifications

Bachelor's degree and one year of progressively responsible library experience; or any equivalent combination of education, training, and experience.

Knowledge, Skills and Abilities

Extensive knowledge of library principles and policies, and knowledge of specialized area functions and workflows. Experience in working effectively with students, faculty, staff, and the community. Ability to utilize multiple computer applications toward increased productivity in a rapidly changing environment. Strong leadership skills. Excellent written and oral communication skills. Ability to establish and maintain effective working relationships. Knowledge of safe working procedures and security measures related to work performed.

Preferred Qualifications

The preferred candidate will possess the following additional qualifications:
• Familiarity with fair use and copyright law in relation to reserves service
• Familiarity with document accessibility practices
• Familiarity with basic user accounts tasks
• Excellent customer service skills
• Excellent oral and written communication skills
• Ability to multi-task in a fast-paced office environment
• Experience using Sierra or another ILS and Adobe Acrobat
• Knowledge of library call number systems and online catalogs
• Project management experience
• Attention to detail
• Six months experience working in public services in a library setting

Job Duties

  • Supervises Circulation service area workflows in the evening, oversees closing procedures and processes, suggests areas where service desk workflows can be streamlined, and suggests staffing levels for the service desk. Communicates with the Service Desk Manager, Resources Access Supervisor, and the Head of Access Services about any issues or unusual situations that occur in the evening hours. 
  • As a member of the Resource Access Team, contributes to the planning and implementation of team projects. Works collaboratively with other Resource Access Team employees on projects. Participates in discussions to assess and improve services and workflows and address perceived issues. 
  • Creates and updates workflows, manuals, and processing schedules for parttime student assistants processing reserve requests and materials. Coordinates with Resource Sharing Team Supervisor to ensure tasks are accomplished and feedback is given on student assistant evaluations. Assists with hiring processes as needed.
  • Manages Willis Library Locker Service. Monitors requests, assign lockers, and responds to requests and questions. Maintains records, manuals, instructions, and signage. Inspects lockers as scheduled. Makes recommendations for improvements to the service. 
  • Processes print reserves requests and new reserves equipment items. Creates bibliographic and item records for faculty copies and equipment items and prepares all physical reserves for circulation. 
  • Provides user and access services to library patrons. Services include circulation, patron accounts, payments, research assistance, and other departmental tasks. 
  • Ensures reserves materials meet accessibility standards. Stays up to date on current trends in accessibility and proposes changes to procedures to better meet the needs of our student body. Handles any documents that involve more complex accessibility editing. 
  • Processes electronic reserves requests. Creates bibliographic and item records for and oversees scanning of electronic reserves. Ensures compliance with copyright law and reserves best practices. 
  • Manages the maintenance of print and electronic reserves collections and files. Oversees regular maintenance of reserves stacks. Ensures reserves equipment are functioning and replace parts and batteries as needed. Completes reserves inventories. Reviews collections for weeding annually. Maintains reserves database and other files. 
  • Corresponds with faculty and Subject Librarians about course reserves. Works with Collection Development to purchase new materials for reserves and to increase licenses for ebook reserves. 
  • Manages the reserves service and sets goals and priorities for each year. Assesses reserves procedures and workflows and participates in discussions about reserves policy changes. Ensures that manuals and webpages stay up to date. Compiles reserves statistical reports.
