Position Overview

The Development Coordinator, Advancement Events, provides essential administrative and operational support to the Office of Advancement Events within the Department of Alumni Engagement. This role enhances the execution of high-impact engagement experiences by streamlining event operations, tracking event budgets, processing payments, coordinating procurement, and finalizing post-event reporting.

By reinforcing the work of the Director of Advancement Events and two Assistant Directors, this position increases the speed and efficiency with which the office delivers a large volume of events that engage alumni, donors, and the broader UNT community. The role also plays a key part in resource stewardship, reducing waste spending, and ensuring accurate reporting and accountability across all advancement events.

Minimum Qualifications

Bachelor's degree and two years of professional experience in marketing, fundraising, event planning, public relations, corporate account sales, or communications; or any equivalent combination of education, training, and experience.

Knowledge, Skills and Abilities

* Working knowledge of the development field.
* Knowledge of accepted business practices and procedures.
* Ability to establish and maintain cordial, productive, and professional working relationships with internal and external contacts.
* Ability to manage time, personnel, financial, and physical resources effectively.
* Exceptional communications skills.
* Ability to master University policies and procedures and apply these in specific situations.
* Some knowledge of philanthropy and fundraising principles or ability to quickly assimilate.

Preferred Qualifications

* Experience in event coordination, advancement, or higher education.
* Familiarity with UNT systems (EIS Peoplesoft, Marketplace, Coupa, PCard, CRM platforms).
* Experience compiling and analyzing reports for events or organizational programs.
* Demonstrated ability to work collaboratively across teams in a fast-paced environment.

Job Duties

  • Office & Data Operations * Provide direct support to the Director of Advancement Events and two Assistant Directors. * Assist with internal cost transfers and revenue tracking related to university department table sales and sponsorships, ensuring accurate processing and documentation in collaboration with Advancement and campus financial units. * Compile and distribute post-event reports, including attendance metrics, financial reconciliation, and resource utilization. * Track and analyze event data to identify trends, improve reporting, and support decision making.
  • Event Procurement & Financial Administration * Process event-related payments, invoices, and procurement in compliance with UNT financial and purchasing policies. * Manage vendor contracts, requisitions, and PCard reconciliation related to events. * Maintain event files, budgets, and records in accordance with university policies. * Coordinate with vendors for event-related purchases and rentals.
  • Event Planning & Execution Support * Assist with preparation, organization, and follow-up of advancement events. * Support execution of alumni and donor events through scheduling, communication, and on-site support. * Monitor event budgets and supplies to ensure efficient use of resources and minimize waste.

Work Schedule

Monday – Friday, 8:00am – 5:00pm; additional time outside of office hours as event schedule requires; hybrid opportunity available.
