The University Union features 330,000 sq ft filled with campus services, dining options, meeting and event spaces, and programming, arts, and activities.
Position Overview
The Event Support Coordinator is responsible for scheduling, planning, and executing campus meetings and events, both indoors and outdoors. This position works closely with relevant stakeholders to ensure arrangements are made for catering, audio/visual services, alcohol services, event security, and parking.
Minimum Qualifications
Bachelor's Degree and two years of professional experience related to event planning; or any equivalent combination of education, training and experience.
Knowledge, Skills and Abilities
Excellent written and oral communication skills.
Demonstrated event management skills.
Excellent customer service skills.
Ability to establish and maintain effective working relationships.
Knowledge of safety and security precautions appropriate to work performed.
Ability to work on call during events including nights and weekends.
Ability to work effectively in a high stress people oriented environment.
Demonstrated skill in computer use and related software programs.
Job Duties
- Event Planning: 1) Responsible for coordinating the space and setup needs for events in and around the Union. 2) Attends reservation meetings with customers, operational departments, catering staff, and other campus service providers as applicable. 3) Makes arrangements with third party services including estimates, delivery times, setups, and pickup times.
- Safety: 1) Completes all work using safe work habits and methods to prevent injuries. 2) Uses equipment properly and in the manner required or directed. 3) Keeps all equipment in good working order and follows storage procedures. 4) Reports any unsafe acts or condition to their supervisor immediately.
- Financial : 1) Provides reservation deposit requirements and deadlines to clients. 2) Communicates payment policies. 3) Ensures timely and accurate billing. 4) Process credit card payments when applicable.
- Communication and Customer Service: 1) Works in harmony with others through active, positive, and courteous interactions with faculty, staff, students, and patrons. 2) Cooperates with coworkers to accomplish work efficiently and effectively. 3) Conveys policies and procedures relative to event management and risk management guidelines.
- Technology: 1) Is proficient in the Event Planning and Space Management software provided. 2) Is proficient in Microsoft office products such as Word and Excel.
- Assessment and Reports: 1) Collect post event feedback from client as well as other service areas. 2) Run event specific reports as requested. 3) Utilize event software reports as a job tool.
- Knowledge: 1) Understands relevant university and departmental policies and procedures. 2) Follows the event input processes established by the department to ensure consistency and accuracy.
- Event Execution: 1) Meets with clients on the day of the event to ensure their needs are met. 2) Facilitates onsite transitions to day of event service providers. 3) Troubleshoots and executes changes that may need to be made.
