Position Overview
The Gift Processing and Accounting Specialist is responsible for accurately processing, recording, and reconciling gifts and donations received by the university. This role ensures the integrity of gift data and compliance with relevant policies and regulations. The specialist works closely with Advancement Services leadership, the Controller’s Office, and other departments to facilitate smooth gift management, ensuring timely and accurate reporting.
Minimum Qualifications
Associate degree and one year of experience in finance, business accounting or related field or any equivalent combination of education, training, and experience.

Preferred Qualifications
The ideal candidate will possess the following additional qualifications:
- Experience working in a higher education or non-profit environment.
- Knowledge of Blackbaud’s Raiser’s Edge or other donor management systems.

Job Duties:
Gift Processing
- Process and record all gifts, pledges, and donations in the database system, ensuring accuracy and timeliness.
- Responsible for proper handling of cash and cash equivalents including PCI compliance.
- Verify gift documentation for compliance with university policies and donor intent.
- Generate and distribute gift receipts and acknowledgment letters to donors.
Accounting and Reconciliation
- Reconcile gift and donation transactions with the general ledger.
- Collaborate with the Controller’s Office and Advancement teams to ensure proper allocation and fund management.
- Assist in resolving discrepancies in gift-related financial records.
- Prepare and execute journals from university cash to gift clearing.
Compliance and Reporting
- Ensure all gifts comply with IRS regulations, university policies, and donor agreements.
- Prepare regular reports on gift transactions, fund balances, and other related metrics. o Maintain accurate records of gifts for audit and compliance purposes.
Collaboration and Support
- Work closely with Advancement Services leadership and other university departments to streamline gift processing workflows.
- Provide support during fundraising campaigns and events by managing financial and gift data.
- Assist in training staff on gift processing policies and procedures as needed.

Monday – Friday, 8:00am – 5:00pm.
