The UNT Division of Instrumental Studies is a diverse epicenter for learning, featuring world-renowned individual instrumental instruction, collaborative opportunities, and professional mentorship. Position Overview
The Office Manager for the International Summer Music Institute (ISMI) at UNT plays a pivotal role in ensuring the smooth and efficient operation of all administrative and logistical aspects of ISMI’s the summer programs, including ISMI, Prelude at ISMI, and the North Texas Suzuki Institute. This position collaborates with the ISMI director, and supports faculty, staff, students, and parents by managing communications, coordinating schedules, overseeing event logistics, and maintaining accurate records. The Office Manager is a key liaison between departments and a central figure in the successful execution of the Institute
Minimum Qualifications
- Strong organizational and multitasking skills with attention to detail.
- Excellent interpersonal and written communication abilities.
- Strong background in classical music.
Knowledge, Skills and Abilities
- Experience in event planning, office administration, or educational program coordination.
- Proficiency in Microsoft Office, Google Workspace, and scheduling platforms.
- Ability to work flexible hours during the summer session, including some evenings and weekends.
Job Duties:
- Coordinate and maintain master schedules for faculty, staff, and student participants, including individualized daily itineraries.
- Manage communications with parents, applicants, and faculty regarding housing, audition requirements, scheduling, and logistics.
- Assist with requesting documentation for onboarding processes for all paid staff, including background checks, training compliance, and documentation.
- Organizing and executing major events, including student performances, orientation, and final receptions.
- Organize and distribute program materials such as name tags, folders, T-shirts, and emergency forms.
- Support social media and promotional efforts in collaboration with UNT and ISMI’s communications team.
- Assist the director in liaising with vendors, housing, and dining services to coordinate accommodations, meal plans, and facility usage.
- Track and reconcile program expenses, and assist with requesting payroll documentation, ensuring timely submission of W-9s and other forms.
- Supervise counselors, ensuring adherence to program standards and schedules.
- Provide on-site support during camp sessions, including participant check-in, airport pickups, and daily operations.

- Communicating with others to exchange information.
- Lifting and moving objects up to 50 pounds.
- Sedentary work that primarily involves sitting or standing.
- Moving about to accomplish tasks or moving from one worksite to another.
- Repetitive motions that may include the wrists, hands and/or fingers.
