Department Summary

The Toulouse Graduate School, with its outstanding faculty, high academic standards, and diverse student body, provides abundant opportunities for graduate students by offering over 100 master's and doctoral programs in a variety of disciplines.

Position Overview

This customer service position is responsible for front line contact with the university community on a variety of graduate student related topics such as admissions, registration, graduation, etc. In a fast paced, collaborative environment this position communicates effectively orally and in writing to customers in person, via telephone, mail and through email. This position oversees scanning documents into Perceptive Content in order to link documents to student accounts.

Minimum Qualifications

Associate's degree and one year of office administration experience; or any equivalent combination of education, training and experience.

Knowledge, Skills and Abilities

  • Proficiency in Microsoft Office.
  • Demonstrated ability to provide outstanding customer service.
  • Demonstrated skill in verbal and written communications.
  • Ability to establish and maintain effective working relationships.
  • Ability to handle multiple priorities.
  • Strong attention to detail.

Preferred Qualifications

The preferred candidate will possess the following additional qualifications:

  • Ability to communicate effectively orally and in writing to customers via telephone and through email.
  • Dedication to customer satisfaction by providing timely and accurate services.
  • Ability to work with internal and external stakeholders to meet the needs of students, faculty, and programs.
  • Strong organizational skills. Flexibility to change tasks quickly.

Job Duties:

  • Follows procedures for opening and closing office to ensure it is open during operational hours and closed in a secure fashion at the end of the normal workday.
  • Greets visitors in person promptly and convey a friendly, helpful, and professional manner.
  • Process grade change and duplication forms.
  • Responds to emails from students, faculty, and staff in a helpful, timely and professional manner.
  • Provides excellent customer service via email, phone and in person in a timely, professional, and accurate manner.
  • Supervise and train student assistant (s) to help properly run the TGS front desk.
  • Assist during graduate commencement ceremonies twice a year.
  • Pick up and processes all incoming and outgoing mail/campus mail.
  • Assist in other areas of office as requested/needed or complete special tasks/projects.
  • Scan and link Toulouse Graduate School documents into Perceptive Content in a timely manner.

Work Schedule:

Mon - Fri 8:00am - 5:00pm; occasional evenings and weekends
