Department Summary
The Department of Biological Sciences, one of four departments in the College of Science, has over 40 faculty, 175 graduate and 3,000 undergraduate students. Our faculty is a community of scholars dedicated to research and teaching in Ecology, Environmental Science, Biochemistry and Molecular Biology, Physiology, Neuroscience, Plant Biology, and Organismal-environment interactions. We offer Bachelor’s degrees in Biology, Biochemistry, Ecology, Medical Laboratory Science, and Forensic Science, and Masters and PhDs in Biology, Biochemistry and Molecular Biology, and Environmental Science. Position Overview
Coordinate graduate orientation; provide staff oversight of departmental graduate program; coordinate undergraduate and graduate scholarships; coordinate IE assessment and reporting; assist with committees (curriculum and others); coordinate Biology Advising Office operations; assist with undergraduate advising; coordinate and supervise student workers.
Minimum Qualifications
Bachelor's Degree in related field and one year of professional related experience in coordinating or administering higher education programming or related field; or any equivalent combination of education, training, and experience.
Knowledge, Skills and Abilities
- Ability to prioritize multiple ongoing responsibilities.
- Strong organizational skills.
- Proficiency in MS Office.
- Strong problem solving and conflict resolution skills.
Preferred Qualifications
Three years of experience coordinating academic program(s) and working with both undergraduate and graduate students.

Job Duties:
- Assist Associate Chair with curriculum updates and course assessments and other data for Institutional Effectiveness (IE) reporting, and work with faculty and lab supervisors to update and maintain IE assessments; create and maintain records in departmental database.
- Coordinate graduate student admissions; process graduate admission letter; work with relevant admissions/advising committees and chair’s office to process admission letters for International students; regularly attend committee meetings; prepare and present reports; oversee department graduate student orientation.
- Coordinate department's graduate TA application processes; oversee and distribute scholarships (tuition scholarships, departmental summer RA, TBP, health assistance scholarship, etc.) and organize and lead departmental scholarship luncheon; coordinate communications between the graduate school and the department/graduate students.
- Actively monitor graduate student progression through their graduate program, including communicating and tracking academic milestones, annual updates, TA funding limits, and required paperwork; managing graduate student listserv; enroll students in thesis and dissertation hours; track former student success; process and submit graduate student extension requests. - (Essential)
- Coordinate undergraduate advising schedules for Faculty Advisors, manage appointments, and assist with transfer credit evaluations, enrollment/registration issues and requests, research undergraduate enrollment and obtain transcripts as requested by Advising and/or Chair’s office.
- Academic fee funded: Administer pre- and post-semester assessment surveys to students in courses identified for evaluation in the curriculum each semester; tabulate data and make available to the committee; administer and proctor graduate written exams as needed.
- Coordinate with COS, Chair's office and departmental scholarship committee to advertise available departmental undergraduate scholarships, organize and assess applications, disburse awards, and organize participation in the departmental scholarship luncheon.

Monday-Friday, 8:00AM - 5:00PM, with extended hours during high volume periods/orientations
