Position Overview
The University of North Texas at Dallas invites applications for the position of Student Services Coordinator in the Office of the Registrar. This in person position is located at the Dallas main campus. Responsibilities include but are not limited to: create, maintain, and revise course scheduling and classroom space reservations, develop and train schedule users on the scheduling entry process, assist as the subject matter expert on scheduling procedures, maintain the accuracy and integrity of the schedule, process audit rolls, non-attendance drops, post mid-term and final grades, post enrollment requisite checks, create final exam schedule, create and maintain academic catalogs (undergraduate/graduate), state reporting, maintain procedures in PeopleSoft student information system and Coursedog. Additionally, this roll will assist with general Registrar services, degree conferrals, commencement, and/or other specialized support within the Office of the Registrar.
Minimum Qualifications
Bachelor's degree in related field and three years of student services, student affairs, counseling, advising or related experience; or any equivalent combination of education, training, and experience.
Knowledge, Skills and Abilities
Thorough knowledge of University policies including FERPA and procedures related to the area of assignment. Considerable knowledge (or ability to rapidly assimilate and retain) university operating procedures, organization and management policies. Working knowledge of sound business principles, practices, and techniques. Intermediate level knowledge of Microsoft Office Suite, in particular Outlook, Word, Excel and PowerPoint. High level of competence using email and search engines. Skilled in typing at a moderately fast rate with few errors.
Preferred Qualifications
The preferred candidate will possess the following additional qualifications: Knowledge of PeopleSoft Campus Solutions, specifically the Student Records module. Experience with class/course scheduling procedures and creation and maintenance of the academic catalog. Experience assisting with general Registrar services.
Required License/Registration/Certifications
Job Duties:
- Collaborate with academic departments to prepare and coordinate workflow of the scheduling timeline, deadlines, and procedures established for completion and publication of the course and classroom schedule. Ensure each department adheres to dates, deadlines, policies, and procedures.
- Perform data entry, maintenance, and final review of schedules in scheduling systems. Collaborate with campus administration and academic departments to assign spaces for classes. Assign courses to classrooms as directed by academic departments and/or administration. Ensure classes are established, assigned, and optimized according to the scheduling business practice.
- Add/edit courses in student information and scheduling systems, set up course requisites for registration, and any related course data entry. Create and maintain enrollment blocks for academic cohorts.
- Process audit rolls and grade rosters and send notifications to stakeholders, such as deans, faculty, administrators, and staff involved in procedures.
- Create and publish examination schedules according to academic deadlines.
- Serve as a liaison with academic departments, external departments, and administrative offices that have shared responsibilities for centrally managed classrooms and for issues concerning scheduling, course offerings, and any related course/class scheduling discrepancies.
- Collaborate with Information Technology department on workflow mapping and discrepancies, troubleshoot registration issues, user testing, and recommend improvements.
- Maximize class scheduling, utilization, scheduling accuracy by generating academic scheduling reports. Analyze and solve non-routine scheduling and data processing problems.
- Responsible for data integrity and accuracy of the academic schedules for each term and sessions. Identify scheduling discrepancies and work with academic departments to offer solutions according to scheduling guidelines and compliance. Ensure departments address scheduling errors before student enrollment.
- Utilize various systems, including but not limited to the University’s student information system and scheduling software.
- Determine when issues to related functions require changes, such as procedure, organization, or policy updates for maintenance purposes and/or improve the efficiency of the academic scheduling procedure. Provide feedback and summarize needs and areas of improvement across stakeholder areas.
- Create, maintain, and revise academic classroom scheduling, courses, grading, audit roll, and any related function manuals and training for department schedulers, deans, and departmental cross-training. Ensure users are provided revised documentation to perform related scheduling tasks.
- Assists in project planning, development, and implementation to ensure efficiency in meeting the needs of the academic scheduling procedure in conjunction with departmental procedures.
- Adhere to academic policies and directives according to federal, state, and the University’s guidelines and regulations.
- Assists with registrar-related functions, including registration, registrar communications and inquiries, process registrar forms, degree conferral, and records requests.
- Maintains up to date knowledge of related systems.
- Assist Registrar and Assistant Registrars as needed.
- Performs other duties as assigned.
