Department Summary
The Academic Resources Department at the University of North Texas supports the operations of the Office of the Provost and Vice President for Academic Affairs by providing administrative services relating to academic and salaried graduate student compensation, position management, faculty recruitment and onboarding, faculty credentialing, and faculty records management.
We strive to provide creative solutions and efficient problem solving for faculty and staff while maintaining compliance with all University, State, and Federal guidelines.
Position Overview
The Academic Resources Coordinator is responsible for managing and supporting the recruitment of faculty positions and adjunct positions, the onboarding process for new faculty members, ensuring a seamless transition and providing exceptional support throughout. In addition, The Academic Resources Coordinator supports academic departments related to processing of payroll transitions, sensitive and confidential human resources tasks, and other areas of support. This role requires strong organizational and communication skills and a commitment to delivering outstanding customer service.
Minimum Qualifications
Bachelor's degree in related field and two years of human resources experience; or any equivalent combination of education, training and experience.
Knowledge, Skills and Abilities
Ability to conceptualize, plan and organize multiple programs and assignments effectively.
Excellent interpersonal skills, demonstrates flexibility as well as a strong commitment to building and sustaining relationships.
Ability to communicate with diverse populations both verbally and in writing.
Ability to work at a computer during work hours.
Knowledge of Microsoft Office applications.
Preferred Qualifications
Experience working in a higher education setting, ideally within Human Resources or an academic department, with a strong understanding of institutional processes and policies.
Proficiency in Microsoft Excel, including the ability to create and manage spreadsheets, use formulas, and generate reports.
Job Duties
- Responsible for the coordination of faculty and adjunct onboarding, which includes maintaining the process map, ensuring that all departments are engaged and meeting deadlines, completing assigned steps, notifying appropriate parties of potential roadblocks, while also acting as a central point of contact for all new faculty throughout the onboarding process.
- Provides information to faculty and staff regarding academic policies and procedures.
- Manages the faculty and adjunct recruitment processes including creation and maintenance of faculty postings, user training and support, and applicant assistance. Responsible for entry, maintenance, and correction of data into the applicant tracking system which may include updates as candidates progress through the onboarding process and changes to postings. They will also provide support to hiring managers and applicants.
- Reviews and approves ePARs and ensures appropriate job codes, compensation, funding, dates and attachments are utilized. Provides feedback and coaching to departmental users for creation of ePARS and gives guidance when ePARs are denied on how to correct issues.
- Coordinates the maintenance of faculty, adjunct, and salaried graduate student offer letter templates, including contacting the hiring departments to produce accurate and timely letters, managing the proper distribution and tracking of letters to candidates, and appropriate tracking of returned letters.
- Reviews procedures, forms, and communications relating to position and makes recommendations for change as needed. Completes special projects and assignments, including those for other areas of office.
- Reviews faculty records on a scheduled basis to ensure documents are scanned into correct location and files are appropriately maintained to ensure compliance with accreditation standards and university retention schedule.
