SEEP-IT comprises of faculty, students and staff from interdisciplinary backgrounds at UNT and externally at other partner locations.
Position Overview
The Administrative Coordinator for the SEEP-IT Consortium in the College of Engineering at the University of North Texas, Denton will manage clerical office functions. The SEEP-IT Consortium was recently funded through a 5-year Department of Energy Consortium Award granted to UNT in 2023, and Prof. Kaul serves as the Principal Investigator (PI) and Center Director. SEEP-IT comprises of faculty, students and staff from interdisciplinary backgrounds at UNT and externally at other partner locations.
The Administrative Coordinator position, supported entirely from SEEP-IT, requires an individual who is committed to delivering high-quality results in a timely manner in order to meet Sponsor deadlines. Given the current activities and to enable future growth of the Consortium, a key understanding of the goals by a committed individual is needed, who possess basic skills in office functions and managing data with integrity and expediency.
The Administrative Coordinator will utilize financial management for budgeting, accounting, and reconciliations, excellent verbal and written communication skills using basic Microsoft Office Tools. The Admin Assistant will show a high level of integrity and commitment to manage business affairs and possess a good understanding of university operations.
Minimum Qualifications
Bachelor's Degree and three years' of highly responsible and varied office administration or business management experience; or any equivalent combination of education, training, and experience.
Knowledge, Skills and Abilities
- Proficiency in basic Microsoft Office tools such as Microsoft Word, Power point and Excel, to facilitate basic data gathering, analysis and communication using these widely acceptable inter-organizational tools.
- Responsible for the collection of data and its analysis, preparation of materials for meetings, as well as contributing to administrative data content needed in periodic reports to the sponsor.
- Administrative Office experience may include responding to emails; scheduling meetings; taking meeting minutes; managing calendars; generating action items and basic follow-up, as necessary.
- Excellent communication skills, both written and oral. Hosting meetings and important workshops involving external and internal customers; Designing advertising strategies to disseminate promotional materials related to SEEP-IT.
- Greeting visitors, responding to information requests. Processing documentation for staff hiring and student appointments; generating purchase orders for materials, supplies and equipment, as requested by the SEEP-IT Director/PI. Making travel and event arrangements, processing reimbursements; working with students.
- Proficient at creating and maintaining webpages as requested by the PI/Director.
- Ability to multi-task and showing good judgement to prioritize tasks while maintaining awareness of timelines and schedules. Ability to work on confidential tasks utilizing judgment, tact, and resourcefulness.

- Effective written and oral communication skills which includes responding to emails; scheduling meetings; taking meeting minutes; managing calendars; generating action items and basic follow-up, as maybe necessary on the action items.
- Work independently to facilitate collection of administrative data and its analysis needed for the preparation of periodic reports due to the sponsor, using basic Microsoft Office tools such as Microsoft Word, Power point and Excel, which are a standardized platform across organizations.
- Facilitate organizational aspects related to hosting meetings, workshops, events, set by the PI for the Consortium involving external and internal customers.
- Assist in designing advertising strategies to disseminate promotional materials related to the Consortium. Create and maintain webpages as requested by the PI/Director.
- Processing documentation for staff hiring and student appointments; generating purchase orders for materials, supplies and equipment, as requested by the SEEP-IT Director/PI and other members of SEEP-IT, internally and externally.
- Accounting management to generate budget summaries, reconciliation reports, track spending, make budget projections, using basic budget management tools.
- Making travel arrangements for consortium members as needed, processing reimbursements, working with students.
