Position Overview
This position performs a variety of basic and advanced technical and administrative support duties, for a department consisting the chairperson, faculty, and staff. It serves as the assistant to the chairperson and requires a considerate degree of responsibility, initiative, and independent judgment, capable of relieving the chairperson of a larger volume of decisions. Some of the support tasks are nonroutine and nonrepetitive in nature. This position requires handling secure, sensitive information for privacy and confidentiality. The employee in this position works under general supervision of the chairperson. Direct supervision of some student workers is a responsibility, and close collaboration with other staff members is required.
Minimum Qualifications
Bachelor's Degree and three years' of highly responsible and varied office administration or business management experience; or any equivalent combination of education, training, and experience.

Exceptional customer service skills. Advanced written communication skills. Advanced Microsoft Office skills. Knowledge of accounting/budgeting procedures. Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others. Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats. Ability to conceptualize, plan and organize multiple programs and assignments effectively. Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness. Skill in developing and maintaining good working relationships. Knowledge of policies, practices, procedures and terminology of assigned function.
Preferred Qualifications
Applicants with knowledge and/or experience of UNTs Enterprise Information System and ePRO, and/or P-card are strongly encouraged to apply. Preferred candidates will have good communication skills; helpful demeanor, and the ability to work with faculty, staff and students. Ability to multitask and delegate tasks as needed.
Required License/Registration/Certifications
Job Duties:
- Assist chairperson with daily scheduling meetings and events with faculty, students, and others. Assist chairperson and other staff with planning of meetings and events related to external affairs, board of advisors, research, students, teaching, and others. Assist chairperson with organization of departmental documents and information in print and electronic formats. Assist Chairperson in departmental council meetings. Draft agenda, note talking, draft minutes, and distribute meeting materials.
- First point of contact for the department, receiving and routing phone calls, visitors, and students. Coordination of the daily office operations and maintenance of a cohesive, pleasant work environments, including monitoring and answering incoming departmental emails, picking up and delivering mail. Support departmental and college events such as conferences, committees, campus events, and orientation.
- Serves as FIS liaison ensuring syllabi are uploaded and that all instructors are added to the system. Coordinates SPOT evaluations each semester. Textbook coordination with faculty and bookstore.
- Submit requisitions or make purchases with a university Pcard for departmental purchasing needs. Coordinates departmental travel needs, including making arrangements and gathering required documentation for faculty, students, and staff. Monitors various budgets, including office and travel.
- Serves as department’s Designated Inventory Coordinator maintaining lists of assets, assisting with checkouts for off-campus use and conducting annual physical inventory check. Maintains Space Inventory and oversees the usage of multiple maintained spaces. This includes, but is not limited to, office needs, room scheduling, coordinating travel, and event planning.
- Supervises office personnel and operations with, and in the absence of, the Chair and Associate Chair. Track leave for personnel. Maintain personnel files and transactions. Trains, supervises, and provides on-going training and professional development opportunities to FT and PT office assistants.
