Position Overview
This position provides professional level support to the senior executive. Duties performed by this position are critical to daily office operations. This position requires the ability to function with a high level of initiative and independent judgement. This position performs responsible, highly sensitive, confidential administrative work, as well as special assignments as directed. This position contributes by utilizing effective communication, teamwork, organizational skills, accuracy, creativity, innovation and productivity.
Minimum Qualifications
Bachelor's degree and one year of related experience; or any equivalent combination of education and experience.
Knowledge, Skills and Abilities
- Advanced MS Office skills.
- Knowledge of accounting/budgeting procedures.
- Demonstrated ability to effectively communicate verbally and in writing at an exemplary level.
- Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.
- Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
- Ability to conceptualize, plan and organize multiple programs and assignments effectively
- Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
- Skill in developing and maintaining good working relationships.
- Knowledge of policies, practices, procedures and terminology of assigned function.

Job Duties:
- Comprehensive and dedicated support to the senior executive, providing active management and oversight of all administrative support functions for the office.
- Serves as internal and external liaison for the senior executives office to ensure a smooth, efficient, and appropriate flow of information. Screens and directs visitors, telephone callers, and correspondence appropriately.
- Provides support for all meetings as requested by the senior executive, including; advanced planning, notification, preparation and distribution of agenda, handouts, minutes, and tech support when needed.
- Assists senior executive in the preparation and development of presentations, speeches, reports, and responses to official inquiries, independently composing and editing correspondence and reports when appropriate.
- Schedules, coordinates and maintains calendar for senior executive, arranges travel, lodging and conference registration for attendance at professional conferences and continuing professional education events.
- Provides consistent and proactive feedback to senior executive regarding status of projects and pending communications.
- Continuously upgrades skills to meet changing requirements for position.
- Compiles, gathers and organizes reports, schedules, documents and correspondence. Maintains comprehensive and systematic electronic and hardcopy files for key information.
- Productive team member, participating in discussions, adding knowledge to the team, and following through on group assignments in a timely manner.
- Stays current with department, institutional and system procedures/guidelines and takes proactive steps when interpreting to insure compliance.
