Department Summary
The Study Abroad Office is responsible for coordinating the university’s study abroad and exchange programs. Study Abroad has a mandate to expand student participation and to integrate study abroad into the UNT curriculum. We aim to develop new opportunities to meet the unique needs of the UNT community and increase student access to global educational experiences.
Position Overview
This position serves as a Department of State-approved Passport Acceptance Agent at a walk-in passport acceptance facility. The agent ensures compliance with federal passport acceptance requirements while providing excellent customer service. Additionally, this role includes select administrative support tasks to assist with the smooth operation of the passport office, with an emphasis on maintaining confidentiality and handling sensitive documentation responsibly.
Minimum Qualifications
- Associate’s degree or equivalent experience in office administration or related field.
- At least three years of experience in customer service or administrative roles.
- Strong interpersonal skills with a commitment to excellent customer service.
- Proficiency with Microsoft Office applications.
- Ability to manage multiple tasks effectively and maintain attention to detail
Additional U.S. Passport Acceptance Agent Requirements
A U.S. Passport Acceptance Agent must meet the following qualifications:
- Be a United States citizen or non-citizen United States national.
- Must not have access to or perform any duties related to the printing, amending, or issuing of birth or identity documents—this includes working in any position (even on different days or hours) where such access exists.
As well as be all of the following:
- Not presently on parole or probation related to any Federal, State, or local convictions.
- Not presently under indictment for a Federal, State, or local felony, or a misdemeanor related to breach of trust or moral turpitude.
- Free of any Federal, State, or local felony convictions
- Free of any Federal, State, or local misdemeanor convictions related to breach of trust or moral turpitude (i.e. embezzlement, document fraud, drug offense, or dishonesty carrying out a responsibility involving public trust).
Knowledge, Skills and Abilities
- Exceptional customer service skills.
- Intermediate Microsoft Office skills.
- Knowledge of accounting/budgeting procedures.
- Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.
- Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
- Ability to conceptualize, plan and organize multiple assignments effectively.
- Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
- Skill in developing and maintaining good working relationships.
- Knowledge of policies, practices, procedures and terminology of assigned function.
Preferred Qualifications
- Ability to work independently while contributing to an overall team effort.
- Second language proficiency with Spanish preferred.
- Prior experience working with sensitive documents or in a security-sensitive environment.
- Ability to communicate clearly and professionally in all customer interactions.
Job Duties:
- Serve as the primary passport acceptance agent, ensuring all passport applications meet federal requirements and are processed in accordance with Department of State regulations. This includes verifying the identity and citizenship of applicants, reviewing documentation for completeness and accuracy, and securely handling all sensitive personal identification materials.
- Provide prompt, professional, and welcoming service to all walk-in visitors and callers seeking passport services and act as a resource within the office to resolve administrative issues or questions related to passport acceptance services.
- Assist with basic administrative duties such as composing correspondence and maintaining records relevant to passport office operations--such as maintaining and monitoring the inventory of passport forms and related office supplies to ensure adequate stock levels are available.
- Ensure all confidential documents and personal information are handled with discretion, complying with privacy policies and security-sensitive protocols.
