Position Overview

Under general supervision, performs program and project coordination in support of institutional gift policy, gift agreement administration, and compliance activities within University Advancement. The position manages intake and routing of proposed gifts and gift agreements; conducts first-line policy and compliance reviews; coordinates with Gift Administration, Donor Relations, Office of General Counsel, UNT Foundation, Compliance and Financial Aid; and maintains organized records and reports. Work involves exercising independent judgment within established policies and procedures to support timely, compliant, and donor-intent–aligned gift administration. May serve as an information resource to campus partners and may provide functional guidance to student staff or temporary personnel.

Minimum Qualifications

Bachelor's degree in related field and one year of related experience or any equivalent combination of education, training and experience.

Preferred Qualifications

* Three (3)–five (5) years of experience supporting gift policy, gift agreements, or advancement compliance in higher education.
* Hands-on experience drafting/redlining gift agreements and amendments; familiarity with endowment terms and spending policies.
* Foundational knowledge of endowment governance and restricted-fund modifications.
* Exposure to foreign gift/contract reporting processes and to sanctions/restricted-party screening workflows.
* Experience with complex gift types (e.g., donor-advised funds, planned gifts, gifts-in-kind, real property) and routing to appropriate review bodies.

Job Duties

  • Gift and Agreement Intake, Review, and Routing * Manages intake queue for proposed gifts and gift agreements; conducts first-line policy checks; coordinates reviews; documents determinations and maintains workflow trackers. 
  • Endowment and Donor-Intent Compliance Support * Supports review of endowment terms and spending alignment; identifies underwater funds or impracticable restrictions for escalation; prepares materials for modification requests as directed.
  • Drafting, Redlining, and Documentation Control * Prepares and edits agreements and amendments using approved templates; applies standard clauses; tracks versions and ensures archiving of fully executed documents.
  • Grant Stewardship Reporting * Coordinates grant reporting with Corporate and Foundation Relations and Presidential Initiatives. 
  • Foreign Gift Due Diligence & Reporting Support * Assists with information gathering and documentation related to foreign gifts/contracts reporting (e.g., source classification, restrictions, aggregation, timelines) as well as other annual Advancement reporting such as CASE. Initiates or coordinates restricted-party screening for gifts in alignment with institutional protocols; records outcomes and follow-up actions. 
  • Policy Maintenance, Training, and Job Aids * Maintains checklists, decision trees, and reference guides; assists with short trainings and refreshers; captures lessons learned to update tools.

Work Schedule

Monday through Friday 8 am to 5 pm; typical 40-hour work week with possible flex and hybrid work opportunities.
