Department Summary

System IT is a component of The University of North Texas System. The mission of System IT is simple: to be the best at delivering customer-aligned IT solutions and services. Our services are provided to all member institutions using an IT shared services governance model.

System IT provides the primary technology used by all campuses to support their operations. These include: shared resources of data centers, computing hardware, software applications, network and voice communications, collaboration and productivity capabilities, central web services, risk management, and security and compliance services. Position Overview

The System IT Department is seeking to hire an IT Vendor Management Specialist.


The IT Vendor Management Specialist will play an integral role in helping to advance our IT vendor management practices and capabilities to lead and support long-term relationships and contributions of our technology vendors. This role requires review and negotiation of IT contracts, building collaborative partnership with technology leaders and vendors, and processing of IT procurement. The IT Vendor Management Specialist will have enterprise-wide impact and influence as technology vendors play a meaningful role in our overall success.


Minimum Qualifications

Bachelor's degree in business or a related field and two years of related contract management experience, or any equivalent combination of experience, education, and training.

Knowledge, Skills and Abilities

  • Knowledge of IT vendor management best practices, contract management principles, procurement processes, and IT service delivery models.
  • Skills in negotiating, analyzing, and interpreting contracts, vendor performance, and financial data.
  • Skills in using Microsoft Office applications, contract management software, and procurement systems.
  • Ability to communicate effectively with diverse stakeholders, including vendors, IT teams, Procurement, internal business partners, and senior management.
  • Ability to work independently and collaboratively, with attention to detail, accuracy, and timeliness.
  • Ability to manage multiple projects and priorities and adapt to changing needs and expectations.
  • Ability to exercise sound judgment, discretion, and confidentiality.

Preferred Qualifications

The preferred candidate will possess the following additional qualifications:

Job Duties:

  • Support vendor contract development and renewal processes, including: * Help negotiate contractual terms focusing on areas of significant impact to UNT System Administration and its member institutions as well as risks relating to performance and service capabilities. * Advise contract owners on all contract terms to ensure quality and reduce risk. * Maintain database of all contracts and attributes of the contracts for subsequent follow-up. * Proactively work to identify expiring contracts; analyze spend and utilization for possible contract consolidation. * Follows up on status of unexecuted contracts; assisting with contract closeouts; and handling cancellations ensuring compliance with legal requirements. * Enter procurement requisitions. - (Essential)
  • Lead vendor governance, oversight, and performance strategies to manage vendors more proactively, enhance value, improve communications, and minimize risk. - (Essential)
  • Execute vendor performance monitoring, tracking and reporting strategies including vendor scorecards, quarterly business alignment meetings, contractual SLA metric compliance, as well as issue resolution. - (Essential)
  • Analyze the vendor portfolio on an annual basis to ensure focus is maintained on classifying and reviewing the most strategic vendors. - (Essential)
  • Collaborate with IT teams and Procurement to integrate IT Vendor Management processes. - (Essential)
  • Work with internal business partners to support purchasing, strategic needs, analysis, and procurement processes. Support financial team with PO processing. - (Essential)
  • Maintain and update knowledge on purchasing and delivery of materials and associated laws and/or regulations. - (Essential)
  • Actively seek ways to streamline contractual and procurement processes. - (Essential)
  • Develop and update processes as needed to aid development of the IT Vendor Management Office. - (Essential)
  • Other duties as assigned. - (Essential)
