Department Summary

The Department of Computer Science and Engineering supports students and faculty in their studies and research at the University of North Texas.

Position Overview

The Computer Science Engineering Department at the University of North Texas is seeking to hire an Office Support Associate to join our team. Responsibilities of the position include, but are not limited to: Acts as Departmental Outreach Personnel on Social Media Accounts and during summer camps. Assist and support departmental accreditation efforts. Prepares, formats and posts monthly newsletter. Communicates with Industrial Advisory Board members. Communicates and assists with student scholarship and outstanding student awards. Assists with data reporting. Provides administrative support to chair, faculty, and other administrative staff. Completes department travel processing and purchasing, as needed. Completes other duties as assigned.

Minimum Qualifications

High school diploma and three years of moderately responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training.

Knowledge, Skills and Abilities

Advanced customer service skills. Knowledge of Microsoft Office. Knowledge of accounting/budgeting procedures. Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others. Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats. Ability to conceptualize, plan and organize multiple programs and assignments effectively. Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness. Skill in developing and maintaining good working relationships. Knowledge of policies, practices, procedures and terminology of assigned function.

Preferred Qualifications

The preferred candidate will possess the following additional qualifications: Excellent written and verbal communication skills. Excellent interpersonal skills and experience working with students. Experience providing support for event planning and special projects, including scheduling meetings, conference rooms, etc. Experiencing putting together newsletters or other regular communication reports.

Job Duties

  • Accurately evaluating and logging documents for record retention. 
  • Responsible for inventory of assets supporting instruction of students and accurate reporting to department purchasing agent. 
  • Provides information for students and other stakeholders for assigned program/service and related services, programs and resources to ensure needs are met. Assist with Teaching Faculty/Teaching Fellows in daily operations. 
  • Determines work procedures and methods in accordance with standard trade practices and departmental standards. Responsible for operations of the HELP Lab to ensure that each station is ready and that signage is posted at the beginning of each semester. 
  • Monitoring and following through on assigned administrative processes/activities. 
  • Responsible to complete data entry in spreadsheets after applications have been processed by department processing team and for scanning files for conversion to digital storage. 
  • Assists with a variety of logistics including special events, assists with the collection of data and analysis, the preparation of materials for meetings and conferences, and provide assistance to the completion of reports.
