Department Summary
The University of North Texas Asset Management department plays a critical role in supporting the university’s operational efficiency and compliance. Our team is responsible for managing the complete lifecycle of State of Texas defined assets, including both controlled and capital assets, ensuring accountability and stewardship of university resources.
Our services begin with the receipt of goods, both asset and non-asset items, and include accurate verification and distribution to designated campus locations. We maintain rigorous inventory control processes, conduct annual physical inventory audits, and ensure compliance with state and university policies.
Asset Management also oversees the end-of-life process for university property, coordinating the proper disposition of surplus items in accordance with regulatory requirements. Through these efforts, we help maximize resource utilization and support sustainability initiatives.
The department reports directly to the UNT Budget Office and works collaboratively with departments across campus to provide guidance, transparency, and support in asset-related matters.
Position Overview
The Asset Management Receiving Specialist is responsible for the receiving, documentation, and inventory of all controlled and capital assets, as well as communicating with departments across multiple business units to establish delivery and inventory support. All UNT purchase orders pertaining to university assets must be received by a Receiving Specialist or other member of the Asset Management team. Therefore, this person must maintain current and operable knowledge of State law and university regulations pertaining to the documentation and monetary thresholds of capital/controlled assets. Proper record keeping and data-entry abilities are necessary for the update of inventory and financial records in the Enterprise Information System (EIS).
This position is also responsible for inspection of all incoming shipments in reconciliation with the shipper’s delivery manifest, maintaining detailed logs of all shipments and assets that pass through receiving docks at every campus, and maintaining/operating those docks while the campus is open. These docks require the operation of heavy industrial equipment such as forklifts, dock levelers, and electric lifts. This role must be able to drive a university vehicle on a daily basis.
Minimum Qualifications
One year of experience in a related field; or any equivalent combination of training and experience.
Knowledge, Skills and Abilities
Knowledge of the following is required for this position: State inventory and asset regulations, inventory and financial management software (such as EIS or other Oracle systems), basic shipping and receiving practices, record keeping processes, and safety practices for hazard chemical transportation.
The following skills and abilities are also expected of this role: ability to monitor and interpret cycle counts for accuracy, read and perform complex written and mathematical functions, operation of heavy equipment (forklift, electric pallet jack, heavy duty vehicles, etc.), high level communication ability with a focus on customer-service techniques, and advanced data-entry skills with use of the full Microsoft Office suite.

Job Duties
- Offload delivery trucks and inspect incoming shipments for condition, quantity, accuracy, and proper storage.
- Identify, receive, and tag all University assets at the dock if possible. Otherwise, communicate with the ordering department to arrange for tagging and inventory onsite.
- Maintain detailed logs of all inbound shipments, assets, and deliveries across campuses. Provide delivery/shipment tracking updates to departments upon request.
- Create PO receipts for assets and communicate with departments to ensure receipt of all consolidated items.
- Maintain proper care of warehouse and equipment including forklift maintenance, vehicle mileage logs, lift-gate maintenance, and cleaning/storage of moving equipment.
- Load delivery vehicles, plan delivery routes, and fulfill deliveries across UNT campuses.
- Assist Asset Management team members with onsite inventory duties. Assist outside departments with inventory information and delivery support.
