Department Summary
The Innovation and Commercialization unit within the Division of Research & Innovation, empowers researchers to transform discoveries into products, services, and companies. The team provides university researchers with services to support navigating the intellectual property and patent processes, development of licensing agreements with strategic industry partners, mentorship in creating startups and pursuing entrepreneurship, and administering commercialization education programs that help forge paths from academic innovation to real-world application.
Position Overview
The Sr Administrative Coordinator provides high-level, professional administrative support for daily operations of the Innovation & Commercialization unit within the Division of Research & Innovation. This multi-tasking position will manage complex staff calendars and scheduling, coordinate unit meetings and events, and manage staff travel arrangements and expense reconciliation. This position also maintains the intellectual property software database by inputting invention disclosures, updating project statuses, and tracking patent information with accuracy and attention to detail. Collaborate with research division budget staff to monitor unit budget; with responsibility for processing all transactions for procurement, and accounts payable of IP licensing royalties and patent expenses.
Minimum Qualifications
Bachelor's degree and five years of highly responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training.

Experience working in higher education.
Job Duties
- Provide administrative support to leadership staff in the Innovation & Commercialization unit, including: managing calendars and scheduling; coordinating communication, meetings and event planning for both internal and external stakeholders; and processing all procurement, travel arrangements and expense reporting, asset inventory coordinator, space management and records management.
- Maintain Inteum software intellectual property database for Innovation & Commercialization team, including: inputting invention disclosures, updating project status categories, and tracking patent information.
- Collaborate with research division budget staff to monitor unit budget. Responsibility for processing all procurement transactions and coordinating with Innovation & Commercialization unit staff to process invoicing for IP licensing and patent expenses.
- Other duties and projects as assigned by supervisor.
