The Institute for Health Disparities (IHD) conducts research, training and community outreach in the areas of minority health, health disparities and workforce diversity. Constituting the IHD are the Texas Center for Health Disparities, National Research Mentoring Network, Texas CEAL Consortium, Diversity Training Programs and the NIMHD Endowment.
Position Overview
The Senior Administrative Coordinator will provide essential administrative support to a university finance department within the Institute for Health Disparities engaged in managing AIM-AHEAD contracts and subawards. The position involves clerical duties focused on finance related tasks such as, document management, scheduling, and assisting with communication between the Finance Department, Principal
Investigators (PIs), Office of Sponsored Programs (OSP) and external sub-awardee institutions. This is an excellent opportunity for someone interested in higher education administration and sponsored research.
Minimum Qualifications
Bachelor's degree and two (2) years of related experience; or any equivalent combination of education and experience.
Knowledge, Skills and Abilities
Exceptional communication and interpersonal skills. Advanced written communication skills. Advanced Microsoft Office skills. Knowledge of accounting/budgeting procedures. Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others. Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats. Ability to conceptualize, plan and organize multiple programs and assignments effectively. Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness. Skill in developing and maintaining good working relationships.
Preferred Qualifications
High school diploma or equivalent required; associate’s degree or college coursework in
accounting, finance, or business preferred.
The preferred candidate will possess the following additional qualifications: Experience with local and federal grants. Knowledge of grant management procedures. Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint); experience with
document tracking or project management tools is a plus
Proficient in using Google Workspace tools, including Gmail, Drive, Docs, and Sheets, for
effective communication and collaboration
Excellent written and verbal communication skills
Strong organizational skills and attention to detail
Ability to maintain confidentiality and handle sensitive information professionally
Previous administrative or customer service experience
Required License/Registration/Certifications
Job Duties:
- Assist with the preparation, tracking, and filing of grant-related documents, including subaward agreements, reports, and email correspondence.
- Schedule and coordinate meetings, webinars, and events involving the internal AIM-AHEAD finance team and external sub-awardee institutions.
- Support the department with routine data entry, invoice tracking, and processing documentation for sub-awardees.
- Draft and edit routine communications such as meeting notes, email updates, and reminders to faculty and external partners.
- Monitor the shared Finance departmental inbox, answering or directing inquiries appropriately.
- Help coordinate internal routing of documents for approvals and signatures .
- Provide additional support on special projects or compliance reviews as assigned.
- Performs other duties as assigned.
Physical Requirements:
- Communicating with others to exchange information.
- Lifting and Moving objects up to 20 pounds.
- Sedentary work that primarily involves sitting/standing.

Work Schedule:
Monday - Friday; 8:00 a.m. - 5:00 p.m.
