Position Overview
The Talent Acquisition Assistant will provide administrative and operational support to the Talent Acquisition (TA) team. This position will be responsible for managing the TA shared inbox, assisting with I-9 compliance activities, supporting the processing of hires, and contributing to special projects to improve recruitment operations.
Minimum Qualifications
High school diploma or equivalent. Experience providing administrative, clerical, or customer service support in an office environment.
Knowledge, Skills and Abilities
• Knowledge of general office practices and procedures.
• Knowledge of basic employment and onboarding processes, including Form I-9 compliance (or willingness to learn).
• Skill in using Microsoft Office Suite (Outlook, Word, Excel) and the ability to learn new software quickly.
• Skill in written and verbal communication, with the ability to interact professionally with diverse audiences.
• Skill in organizing work, managing multiple priorities, and meeting deadlines in a fast-paced environment.
• Ability to analyze information for accuracy and completeness.
• Ability to handle sensitive and confidential information with discretion.
• Ability to work both independently and collaboratively within a team.
• Ability to adapt to changing priorities and contribute to process improvement initiatives.
Preferred Qualifications
Some college preferred.
Strong attention to detail and organizational skills.
Excellent written and verbal communication skills.
Ability to handle confidential information with discretion.
Proficiency in Microsoft Office Suite (Outlook, Word, Excel) and ability to learn new systems quickly.
Customer service–oriented with the ability to work collaboratively in a team environment.
Required License/Registration/Certifications
Job Duties:
- % - Monitor and manage the Talent Acquisition shared inbox, responding to inquiries or routing them to the appropriate team member in a timely and professional manner. - (Essential)
- % - Assist with Form I-9 compliance, including scheduling and tracking verifications, ensuring documentation is accurate, and following established procedures. - (Essential)
- % - Provide support with processing new hire transactions in the Applicant Tracking System (ATS), ensuring accuracy and compliance with established guidelines. - (Essential)
- % - Assist with the preparation, review, and follow-up on pre-boarding documentation and pre-employment requirements. - (Essential)
- % - Work on special projects assigned by supporting initiatives that improve recruitment processes, systems, and the overall candidate experience. - (Essential)
- % - Maintain accurate records and files in accordance with compliance and retention policies. - (Essential)
- % - Collaborate with TA team members to ensure smooth workflow and timely completion of assignments. - (Essential)
- % - Perform other duties as assigned to support the goals and priorities of the Talent Acquisition team. - (Essential)

Work Schedule:
This position is for 19 hours per week- Monday–Friday, with flexible hours between 8:00 a.m. and 5:00 p.m. This is a fully remote position.
