Department Summary

The Registrar's Office provides support services to students, faculty, staff and other constituents in the areas of academic advising support programs, course scheduling, enrollment, degree verification, transfer articulation, test credit, athletic certification and maintenance of student academic records, as well as handles state and federal reporting. Position Overview

This position is responsible for the day-to-day management of strategic academic scheduling for the entire University. As a Senior Registrar Coordinator, this position works with every academic area on campus, (every college and academic department, including schedulers at the UNT Frisco campus) to ensure that each term, one schedule of classes (consisting of some 12,000+ individual course sections) is strategically planned and offered that allows students to persist and complete their degrees in a timely manner. The work that is done is strategic and deliberate, from creating the master production calendar of strategic planning tasks, which all academic areas must follow, to ensuring the entire final schedule is strategic and optimal for all students. The Registrar’s office will assist with holistic reviews and coordinate across all areas as student coursework is across disciplines. This position works with academic areas to adjust schedules and resolve issues within and among academic areas for overall optimal scheduling.

As a member of the Registrar’s office, this position ensures compliance with state, federal and accrediting bodies, working with academic areas to adjust schedules to ensure all section details met requirements to award academic credit. This position is key in ensuring that scheduling anticipates and plans for enrollment growth, aids in retention, and timely degree completion for all students regardless of discipline or location.

Minimum Qualifications

Bachelor's Degree and three year of related experience or any equivalent combination of education, training, and experience.

Knowledge, Skills and Abilities

  • Skill in the use of standard office equipment and software.
  • Ability to effectively use computer and information technology.
  • Skill in using computer applications including word processing software or ability to quickly assimilate.
  • Knowledge of principles and processes for providing high-quality customer service.
  • Skill in telephone etiquette and courteous communication with public, verbally and in writing, evaluating information and address identified issues.
  • Ability to work in a collaborative results-oriented environment.
  • Ability to consistently exercise initiative, tact, diplomacy, and professionalism.
  • Knowledge of standard office policies and procedures.
  • Ability to quickly assimilate.

Job Duties:

  • Provides strategic guidance and support for scheduling within and across every academic area in the University. Works with associate deans, chairs, academic schedulers, over 150+ individuals, to ensure an optimized timely course schedule, consisting of over approximately 12,000 sections each semester. Works with areas to plan and schedule sections following program sequence needs and demand across disciplines. Works with all academic areas on planning course offerings based on enrollment growth. Provides guidance and solutions for complex scheduling issues.
  • Creates, maintains and provides tools and direction on optimizing offerings. Running optimization analytics, the person in the position shares the results and works with academic areas for resolution and appropriate adjustments to meet scheduling needs for all students, as student academic programs consist of coursework across disciplines.
  • Communicates and enforces timelines, policies and practices to ensure compliance with all state, federal and accrediting agencies related to awarding academic credit based on accurate scheduling. Provides training to all university employees that are engaged in scheduling related to best practices and leveraging tools for strategic decision making.
  • Schedules all academic classrooms for the entire University, regardless of location, to ensure appropriate room placement for pedagogical needs and optimal use of facility resources in accordance with state statute. Ensures compliance and assists with university space inventory and reporting.
  • Completes all required training as assigned.
