Advisors evaluate students’ transcripts, help students transfer credits for prior coursework, set class schedules, prepare degree plans, and track progress toward degree completion.

Position Overview
The Advising Assistant will serve as support for overseeing the front desk of the academic advising suite to assist peer advisors with emails, answering phone calls, and answering any advising related questions. They will assist students with scheduling advising appointments and rescheduling appointments due to cancellations. The Advisor Assistant will assist students with any questions related but not limited to searching for courses discussed with advisor, assist students understand holds and prerequisites and understanding various forms related to academics.
Minimum Qualifications
High school education or equivalent is required

- Intermediate Microsoft Office knowledge
- Knowledge of department/division policies, procedures, and programs, as well as policies and procedures of outside agencies with whom the department/division interacts and procedures of outside agencies with whom the department/division interacts
- Knowledge of department/division systems (i.e., PeopleAdmin, EAB NAVIGATE)

Preferred Qualifications
The preferred candidate will possess the following additional qualifications: Associate degree in a relevant field and one year of experience working in an administrative or other similar environment.
Required License/Registration/Certifications
Job Duties:
- Perform clerical duties, which may include word processing and data entry using Office 365 apps ( MS Word, Excel and other designated systems/software).
- Answer phone calls while facilitating the front desk of the Academic Advising Office. Direct calls to appropriate departments and/or answer inquiries students may have regarding advising. Greet campus visitors, students, faculty, staff, and general public in a friendly and professional manner. Evaluate situations and when necessary, direct person to appropriate staff member and follow up to ensure the problem is resolved.
- Serve as liaison between students, associate faculty, and staff.
- Answer multi-line telephones, directing callers to the appropriate personnel, answering inquiries. Provide back-up support to staff.
- Maintain confidentiality of all records and contacts.
- Initiate and or collect appropriate paperwork from or on behalf of students, faculty, staff, and community and handle appropriately and in a timely matter.
- Contribute to the development of various materials for the department. Use equipment such as copier, fax as requested by staff, and ensure faxes are received. Contact vendor assistance when needed.
Work Schedule:
The position will be a part-time position, consisting of 19 hours a week working during office hours from 8am-5pm office hours.
