Position Overview
The Operations Business Specialist plays a key role in supporting strategic initiatives, process improvements, and data-driven decision-making across the department. This position is responsible for business analytics, policy coordination, procurement support, and operational improvements. The role involves high-level collaboration with internal and external stakeholders, executive reporting, and managing specialized projects to enhance organizational efficiency.
Minimum Qualifications
Bachelor's Degree in Business Administration or related field; and five years' of highly responsible data analysis, finance, budgeting and/or business management experience; or any equivalent combination of experience, education, and training.
Knowledge, Skills and Abilities
• Strong analytical skills to collect, organize, and interpret complex data sets.
• Excellent communication skills, with proficiency in policy writing, reporting, and executive correspondence.
• Advanced proficiency in Microsoft Office Suite, particularly Excel, PowerPoint, and Word.
• Experience with business intelligence tools, financial modeling, and procurement systems is preferred.
• Strong organizational and time-management skills, with the ability to manage multiple projects simultaneously.
• Knowledge of procurement, budget management, and contract compliance.
• Ability to work independently and collaboratively in a fast-paced environment.

Job Duties:
- 30%% - Data Analysis & Reporting: Analyze and interpret data related to procurement, budget, and performance. Create executive-level reports, dashboards, and presentations for leadership, identifying trends to support data driven decision making. - (Essential)
- 25%% - Process Improvement & Strategic Initiatives: Implement efficiency and modernization initiatives. Collaborate with leadership to streamline workflows, policies, and procedures, supporting change management efforts for strategic sourcing and procurement improvements. - (Essential)
- 15%% - Procurement & Vendor Management Support: Assist in vendor management, contract compliance, and pricing models. Administer Request for Proposal (RFP) processes and overseeing evaluations, acting as a liaison between procurement teams and other university departments. - (Essential)
- 15%% - Project & Policy Coordination: Lead or support projects related to procurement, financial analysis, and policy development. Draft policies and compliance documents and coordinate logistics for high-level meetings and cross-functional initiatives. - (Essential)
- 10%% - Departmental Communications & Administrative Support: Develop and manage departmental communications, including website content and social media. Prepare and disseminate reports, correspondence, and memoranda for internal and external audiences. Ensure alignment between department goals and university-wide strategic objectives. - (Essential)
- 5%% - Collaboration & Stakeholder Engagement: Collaborate with cross-functional teams, facilitating communication between leadership and teams. Provide insights on operations and initiatives at senior staff meetings. - (Essential)
Work Schedule:
Generally, Monday - Friday 8am - 5pm. Mostly remote work with in person attendance required for quarterly departmental meetings and other occasional in person meetings
