Department Summary
Procurement is responsible for ensuring compliance with established purchasing guidelines and providing expert interpretation of UNT System's procurement policies. Our key functions include executing purchasing contracts, managing and supporting the eProcurement module of ePro (including testing and training), delivering training on public purchasing methodology, and overseeing formal bidding processes.
Position Overview
The Operations Business Specialist plays a key role in supporting strategic initiatives, process improvements, and operational coordination across departments. This position provides administrative and operational support in areas such as budget reporting, HR-related tasks, travel and expense processing, executive correspondence, and communications. The role involves coordination of vendor-related activities, policy documentation, and special projects to enhance organizational efficiency. The Operations Business Specialist works collaboratively with internal and external stakeholders to ensure effective operations and high-quality service delivery.
Minimum Qualifications
Bachelor's degree in Business Administration or related field; and five years of highly responsible data analysis, finance, budgeting and/or business management experience; or any equivalent combination of experience, education, and training.
Knowledge, Skills and Abilities
Strong organizational and analytical skills to coordinate projects, track progress, and support operational goals.
Excellent communication skills, with proficiency in policy writing, reporting, and executive correspondence.
Advanced proficiency in Microsoft Office Suite, particularly Excel, PowerPoint, and Word.
Experience providing administrative support in areas such as budgeting, travel and expense processing, HR coordination, and vendor management support.
Strong time-management skills with the ability to balance multiple priorities and deadlines.
Knowledge of operational processes, budget tracking, and vendor coordination practices.
Ability to work independently and collaboratively in a fast-paced environment.

Job Duties
- Administrative & Financial Support: Provide operational support for departmental functions, including budget tracking, financial reporting, travel and expense processing, and coordination of HR-related documentation such as employee onboarding, personnel actions, and timesheet submissions. Prepare accurate reports and summaries for leadership review.
- Process Improvement & Operational Initiatives: Support continuous improvement and modernization efforts by helping streamline workflows, policies, and procedures. Assist leadership with operational planning, change management activities, and documentation of standard operating procedures to improve efficiency and consistency.
- Vendor & Project Coordination: Provide support for vendor relations, including onboarding, communication, and issue resolution. Assist with project coordination, vendor documentation, and tracking of service deliverables to ensure operational and compliance objectives are met.
- Policy, Reporting & Executive Support: Assist with policy updates, reporting, and preparation of materials for executive meetings. Draft and edit correspondence, summaries, and presentations for leadership. Coordinate logistics for cross-functional projects and departmental initiatives.
- Communications & Departmental Support: Prepare and distribute departmental communications, including website updates, newsletters, and internal announcements. Support leadership with scheduling, document preparation, and coordination of meetings and events. Ensure alignment between departmental activities and broader organizational goals.
- Collaboration & Stakeholder Engagement: Work collaboratively with internal and external stakeholders to support effective communication and coordination across teams. Participate in meetings, provide operational updates, and assist in maintaining strong partnerships with campus departments and external partners.
