The Office of Sponsored Programs, a department under the Division of Research and Innovation at UNTHSC, provides pre-award, post-award, and contract services to support faculty and other investigators while promoting compliance with federal and state agencies, private sponsor agreements, and UNTHSC research policies.
Position Overview
The Office of Sponsored Programs (OSP) is seeking to hire a Senior Administrative Coordinator to join our team. This position is responsible for providing executive, administrative, and analytical support. The Senior Administrative Coordinator will perform clerical functions such as triaging information requests, preparing correspondence, managing the office calendar, responding to general inquiries, arranging conference calls, and meeting management. In addition to working closely with the leadership and the team members of the OSP, this position will also interact with other units within the Division of Research and Innovation as well as the UNTHSC Research Community and other administrative departments and/or external constituencies.
Minimum Qualifications
Bachelor's degree and two (2) years of related experience; or any equivalent combination of education and experience.

- Knowledge of accounting/budgeting procedures.

- Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
- Ability to conceptualize, plan and organize multiple programs and assignments effectively.

- Skill in developing and maintaining good working relationships.

Job Duties:
- Oversight and provision of general administrative support to departmental operations, including purchasing, business records, travel, office equipment and supplies and management of administrative office. This also includes obtaining appropriate approvals for expenditures.
- Support all meeting planning and preparations. This may include scheduling meetings, preparation of agendas and meeting materials, coordinating preparation of meeting space(s) and catering for meals, preparation of meeting minutes, and following up on action items.
- Manage incoming communications from various institutional and external customers. This includes answering phone calls and responding to routine requests and questions as appropriate or triage to appropriate parties or take messages. This may include requests or questions from within OSP, other units from within the Division or the University, or external stakeholders and customers. In addition, open, sort, and distribute incoming correspondence including mail, faxes and email.
- File and retrieve research administrative documents, emails, records, and reports, and create/edit database records/files as needed.
- Coordinate and direct office services, such as records, departmental purchasing, personnel issues, and housekeeping. This also includes preparation of electronic payroll action requests (ePARs) and other human resource documentation, and interaction with Human Resources staff.
- Special projects and other duties as assigned.
