Our team is responsible for assessing and collecting all tuition and fees, processing waivers, exemptions, veterans' educational benefits, third-party sponsorships, tuition benefit programs, refunds, departmental deposit and financial services, and tax reporting.

Position Overview

The position is responsible for oversight of the daily operational activities within the Payment Processing area that includes University Cashiering and University ID Cards as well as cash control/cash-handling practices and reconciliation of payment activities of the area.

The position oversees the financial and cash control functions within the Payment Processing unit. In addition to daily activities, the role is responsible for providing research, solution and communication for students requiring additional assistance with accounts, payments, and payment plans.

Minimum Qualifications

Bachelor's Degree with 3 years' work experience in accounting, billing/receivables or related business or any equivalent combination of education and/or experience.

Preferred Qualifications

Previous experience in higher education, or experience working in an industry with high volume payment transactions. A successful individual in this role will possess strong analytical skills, critical thinking, and a process improvement mindset. The optimal candidate in this position will possess a high degree of accountability, attention to detail and embrace change management.

They will be able to maintain a complex workload with competing deadlines and will be able to communicate effectively to students, campus partners, and team members. The individual will be able to develop effective working relationships across teams, departments, and divisions to ensure that projects and initiatives are successful.

Job Duties:

• Manage daily operations of Payment Processing/University ID Cards services and windows including oversight of cashier full-time and part-time staff to ensure proper completion of services, including cash controls, cash handling, protecting university financial assets, and balancing cash drawers. Collaborates with the Assistant Director in leading the overall daily functions of the Payment Processing team and also represents the team and department to campus partners, leadership, and customers.
• Verifies accuracy, manages daily and weekly processor-to-subledger and processor-to-bank reconciliations of over $350M in payment activity (multiple modalities). Prepare deposits of physical currency for transmission and oversees staff processing electronic deposits to bank. Analyzes cash on hand and works with JP Morgan Client Services and Brinks services teams to manage physical currency storage and allocations. Collaborates with external/third-party payment providers on payment plan configuration, liaison for vendors/merchants, and general monitoring of payment provider functional operations for UNT.
• Oversees the University Department Deposits function for UNT and UNT System. Ensures that all campus deposits of physical currency are processed (deposit, reconciliation, bank entries/transmission, and journal entries made to the General Ledger). Deliver pro-active communication to all UNT/UNTS departmental deposit contacts for on-going support of campus department deposit functions. Manages multiple secure courier services between all UNT/UNTS locations and Student Accounting/ESSC, including Brinks and UNT Police, including Payroll overpayment deposits for all UNTS locations.
• Serve as lead for the University ID Card processes for students, faculty, staff, and university guests: including functional/operational processes within the various applications that are used to support the University ID Cards function (PeopleSoft Campus Solutions, Entrust/TruCredential). Manages processes for online, batch, and in-person ID card processing as well as online photo upload/quality review and approval functionality. Coordinates staffing resources related to photo review, approval, etc.
• Maintains a working knowledge of the EIS system to navigate, comprehend, and explain student accounts; troubleshoot issues; and understand processes which affect the student account. Provides appropriate comments in EIS to document situations, as necessary.
• Provides training and on-going coaching to full-time and part-time staff within the Payment Processing area to ensure that performance and accuracy aligns with the mission and quality service standards of the department and university policy.
