Department Summary
The Institute for Health Disparities (IHD) conducts research, training and community outreach in the areas of minority health, health disparities and workforce diversity. Constituting the IHD are the Texas Center for Health Disparities, National Research Mentoring Network, Texas CEAL Consortium, Diversity Training Programs, AIM-AHEAD and the NIMHD Endowment.
Position Overview
The Administrative Coordinator will play a crucial role in managing and supporting the operations of AIM-AHEAD collaborative training programs. This role is responsible for coordinating all administrative tasks, ensuring smooth program delivery, managing participant engagement, and supporting the trainers and facilitators involved. The ideal candidate is organized, detail-oriented, and possesses strong communication skills.
Minimum Qualifications
- Bachelor's degree and one (1) year of related experience; or equivalent combination of education and experience.
Knowledge, Skills and Abilities
- Considerable knowledge of general office procedures and practices.
- Knowledge of University policies and procedures related to the area of assignment.
- Skill in making mathematical calculations and computations.
- Ability to keep complex records; to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
- Ability to establish and maintain good working relationships.
- Ability to communicate effectively orally and in writing.
- Ability to work without close supervision.

Job Duties:
- Support the administrative day-to-day activities including but not limited to scheduling, logistics, coordinating meetings, meeting notes, agenda meeting management and follow-up, organizing data, and assisting collaborators
- Support and maintain training schedule and event calendars
- Coordinate virtual training sessions, provide logistical support and ensure that they have the tools needed (example: meeting links, platform access) in a timely manner and ensure smooth virtual event operations.
- Send communication, including but not limited to logistics, event details, technical requirements, reminders, materials, agenda, follow-up resources, updates, announcements and other details to mentors, trainees and other stakeholders
- Monitor and track data such as participant attendance, engagement, and performance throughout the program as required for evaluation of the programs.
- Provide support for reports and presentations to participants, funders, stakeholders, and other entities
- Support coordination of travel and reimbursements for AIM-AHEAD staff and participants
- Assist the budget management team in ensuring timely payments to trainees and mentors

Monday - Friday; 8:00 a.m. - 5:00 p.m.
