Department Summary
The Registrar and Student Records Office manages and maintains the students’
academic records. They are responsible for ensuring the integrity, security, and
confidentiality of academic records. These services include transcript generation, grade
processing, degree certification, the enrollment and registration process of all students,
as well as the verification of enrollment, academic standing, and degree completion.
The office coordinates reports for internal and external compliance, oversees functions
related to Veteran’s Affairs, prepares data for state/federal enrollment and audit reports,
coordinates compliance with the Family Educational Rights and Privacy Act (FERPA),
and provides data to support the institution’s tactical initiatives.
Position Overview
The Enrollment Services Associate position within the Registrar and Student Records Office will be expected to perform a variety of office functions. They will support the overall enrollment plan by processing enrollment, records requests, grade recording, record keeping, while upholding FERPA privacy regulations. Work with faculty and staff from various colleges on campus in order to ensure that processes such as withdrawals, grade appeals and probation/suspensions are properly processed and documented. Council students on process and procedures surrounding grading and enrollment. Demonstrate excellent communication and interpersonal skills as well as exceptional organizational skills.
Minimum Qualifications
Bachelor's degree and one (1) year of related experience; or equivalent combination of education and experience.
Knowledge, Skills and Abilities
Strong customer service orientation, problem solving, and organizational skills.Ability to prioritize and manage multiple tasks in a fast-paced environment;Experience learning new technology.Ability to diagnose and analyze problems to provide solutions.Strong interpersonal skills, ability to relate to a broad range of university staff, faculty and administration.Excellent written and oral communication skills.Ability to work well independently.Knowledge of examination administration processes and security protocols.Ability to maintain a high level of accuracy in a time sensitive and demanding environment. Ability to maintain flexibility (skills and attitude) for assuming new responsibilities.
Preferred Qualifications
The preferred candidate will possess the following additional qualifications: 3-5 years of related work experience in university regulations, policies, and procedures as well as academic record keeping. Experience with PeopleSoft. Experience in handling security sensitive information.

Job Duties:
- Explaining policy and procedures to students and other constituents/customers in order to advise them of potential solutions to problems.
- Processes term registrations and add/drop forms of continuing, new students, and online programs.
- Handles confidential information with tact, discretion and in compliance with FERPA regulations.
- Establish, monitor, maintain, and oversee both the imaged and physical records of students and alumni.
- Promoting and supporting the Office of Student Affairs by participating in various institutional functions and organizations as needed. (i.e. Orientation, Commencement, White Coat Ceremony, Discover MyHSC Day).
- Completes student degree audits and graduation processing.
- Coordinates registration changes with student financials, financial aid and programs.
- Perform other duties as assigned.
- Must work effectively with colleagues and students by practicing punctuality, respect for deadlines, collaborative problem solving, and honest communication.
- Will be called upon to exercise good judgment in making various decisions related to departmental functions.
- Communicates and processes New Student Information Survey.
- Manage meningitis vaccination records.
- Assist students, faculty and staff with information requests within all areas of the University.
