The Division of University Advancement is seeking to hire a Gift Processing and Systems Analyst in the Advancement Service department.
Position Overview
The Gift and Data Processing Analyst plays a crucial role in ensuring accurate and efficient processing of incoming gifts, donations, and related data. This role requires meticulous attention to detail, strong analytical skills, and the ability to maintain confidentiality. The analyst will collaborate with various teams to ensure proper recording, reporting, and reconciliation of gift-related information.
Minimum Qualifications
Bachelor's Degree and three years' of highly responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training
Knowledge, Skills and Abilities
- Exceptional customer service skills.
- Advanced Microsoft Office skills.
- Knowledge of accounting/budgeting procedures.
- Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.
- Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
- Ability to conceptualize, plan and organize multiple programs and assignments effectively.
- Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
- Skill in developing and maintaining good working relationships.
- Knowledge of policies, practices, procedures and terminology of assigned function.
- Supervisory skills.
Preferred Qualifications
The ideal candidate will possess the following additional qualifications:
- Previous experience in gift processing, fundraising, or nonprofit organizations.
- Familiarity with fundraising software and platforms.
- Basic knowledge of accounting principles related to gift processing.
- Experience with data analytics.

Job Duties:
Gift Processing and Data Entry
- Receive and review incoming gifts and donations, ensuring all required documentation is complete and accurate.
- Enter gift information into the database or CRM system with a high degree of accuracy.
- Generate acknowledgement letters and receipts for donors in a timely manner.
- Maintain and update donor information in the database, ensuring accuracy and consistency.
- Perform routine data quality checks and resolve any discrepancies or errors.
- Assist in data cleansing and enrichment efforts to improve the overall quality of donor data.
System Maintenance and Troubleshooting
- Regularly update and maintain the gift processing software and systems.
- Identify and resolve any technical issues or discrepancies in the gift processing workflow.
- Collaborate with management to implement updates and improvements.
- Participate in or lead projects related to gift processing system upgrades, migrations, or integrations.
- Coordinate with cross-functional teams to achieve project goals and deadlines.
Quality Control and Compliance
- Work closely with the controller and foundation team to reconcile donation records and financial transactions.
- Ensure gift data aligns with accounting records, evaluate, and resolve any discrepancies.
- Develop and implement quality control measures to ensure accurate gift processing.
- Stay informed about relevant legal and regulatory changes related to donations and gifts.
- Ensure compliance with industry standards and best practices.
Reporting and Analysis
- Generate regular reports on gift processing performance, including gift trends, donor demographics, and error rates.
- Analyze data to identify opportunities for process optimization and donor engagement.
- Prepare reports for management and stakeholders to support decision-making.
Documentation and Training
- Create and maintain detailed documentation of gift processing procedures and workflows.
- Train staff members involved in gift processing on best practices and system usage.
- Provide ongoing support and guidance to team members.
Donor Communication
- Respond to donor inquiries and resolve any issues related to gift processing.
- Collaborate with donor relations teams to ensure a positive donor experience.
- Maintain a high level of professionalism and donor-centric service.
Work Schedule:
Monday – Friday, 8am – 5pm.
