Position Overview
The Business Operations Specialist is responsible for leading initiatives that enhance operational efficiencies within the Business Services department of the university system. This role exists to transform processes, operations, and systems by managing projects and collaborating with various departments and stakeholders. The primary goal is to ensure streamlined operations that support the university system's overall mission and strategic objectives. This position is essential to drive continuous improvement efforts across the university system's business operations. The Business Operations Specialist will facilitate cross functional collaboration to optimize workflows, improve service delivery, and support strategic projects. By doing so, the role ensures that business operations are efficient, effective, and aligned with the university system's goals.
Minimum Qualifications
Bachelor's Degree in Business Administration or related field; and five years' of highly responsible data analysis, finance, budgeting and/or business management experience; or any equivalent combination of experience, education, and training.
Knowledge, Skills and Abilities
* Demonstrated advanced analytical skills with the ability to collect, organize, analyze and disseminate significant amounts of information with great attention to detail and accuracy
* Adept at queries, report writing, and presenting findings
* Excellent written and oral communication skills
* Advanced Microsoft Office skills, with special emphasis in Microsoft Excel
* Knowledge of accounting/budgeting procedures
* Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others
* Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in professional formats
* Ability to plan, organize, and effectively manage multiple assignments and projects
* Ability to work on complex and confidential tasks using best judgment, tact, and resourcefulness
* Ability to establish and maintain effective working relationships
* Knowledge of policies, practices, procedures and terminology of assigned function

Job Duties:
- Lead Process Improvement Projects: Develop and implement projects aimed at transforming and improving existing business processes within the Business Services department. Utilize data analysis and stakeholder input to identify areas for enhancement and to ensure projects align with strategic objectives. Ensure compliance with university policies and regulations throughout all project phases.
- Project Management: Create and manage comprehensive project plans, timelines, and budgets. Coordinate with cross-functional teams, including finance, human resources, IT, OGC, and marketing & communications, to ensure successful project execution and adherence to deadlines.
- Stakeholder Engagement and Collaboration: Work closely with subject matter experts and department leaders to gather requirements, define project scope, and ensure stakeholder alignment. Facilitate regular communication and updates to keep all parties informed and engaged. Manage relationships with external vendors and consultants as needed to support project initiatives. Ensure vendor performance aligns with project goals and contractual obligations.
- Data Analysis and Reporting: Conduct thorough data analysis to evaluate the effectiveness of implemented changes and identify further opportunities for improvement. Prepare reports and presentations for senior leadership to highlight project outcomes and recommendations. Identify potential risks associated with project initiatives and develop strategies to mitigate these risks.
- Process Documentation and Standardization: Develop and maintain detailed documentation of processes, workflows, and procedures to ensure consistency and compliance across the university system. Standardize processes where possible to improve efficiency and reduce redundancy.
- Training and Support: Provide training and support to staff and stakeholders on new processes, systems, and best practices. Ensure a smooth transition during the implementation of new procedures and technologies.
