Department Summary
The Graduate School at the University of North Texas at Dallas provides leadership and support for all graduate programs and serves as the central hub for recruitment, admissions, and student success initiatives. In alignment with the university’s mission of access and educational excellence. The Graduate School works closely with academic colleges to attract, enroll, and support graduate students with different academic, professional, and personal pathways. The office oversees strategic recruitment, application processing, new-student onboarding, academic progress support, and professional development programming. It also partners with the Graduate Council to maintain high academic standards and enhance the over all quality of graduate education. Through collaborative outreach and student-centered services, The Graduate School plays a key role in expanding graduate opportunities and strengthening the university’s impact across the region and beyond.
Position Overview
The Admissions Processor supports the Office of Graduate Admissions by processing prospective student applications, evaluating academic credentials, maintaining student records, and applying institutional admission criteria to determine admission eligibility. This position ensures the accuracy and integrity of admissions data, assists with the development and implementation of office procedures, and may support the training of new staff. As a key member of the Graduate Admissions team, the Admissions Processor contributes to the achievement of the University's enrollment goals through the efficient and accurate processing of admissions records and decisions.
Minimum Qualifications
Bachelor's degree and one (1) year of related experience; or equivalent combination of education and experience.
Knowledge, Skills and Abilities
- Thorough knowledge of University policies including FERPA and procedures related to the area of assignment.
- Considerable knowledge (or ability to rapidly assimilate and retain) university operating procedures, organization and management policies.
- Working knowledge of sound business principles, practices, and techniques.
- Intermediate level knowledge of Microsoft Office Suite, in particular Outlook, Word, Excel and PowerPoint.
- High level of competence using email and search engines.
- Skills in typing at a moderately fast rate with few errors.
- Knowledge of general safe working procedures related to work performed.
Preferred Qualifications
- Experience working in graduate admissions, higher education enrollment management, or student services.
- Experience processing admissions applications, academic records, transcripts, and application-related documentation.
- Experience using document imaging, workflow management, and student information systems, including platforms such as Laserfiche, Perceptive Content, or similar technologies.
- Experience collaborating across multiple university departments to support student enrollment and service initiatives.
- Experience with systems testing, troubleshooting, or process improvement related to admissions or enrollment operations.
- Knowledge of graduate admissions policies, procedures, and best practices.
Job Duties
- Maintain Laserfiche (Forms & Client) and Perceptive Content systems and records.
- Process graduate applications, admissions revocations, non-degree applications, and second bachelor’s degree applications.
- Review prospective student applications and follow up with students to verify any application issues, including discrepancies and/or missing information.
- Conduct system testing for new and updated software.
- Maintain and update graduate communications, including letter generation and the Graduate Processing Manual.
- Process Nelnet payments, Activity Guide application fees, and bacterial meningitis documentation.
- Retrieve transcripts from the Admissions Office and download ETS scores.
- Prepare reports and provide clerical and administrative support as needed.
- Assist students and visitors by responding to inquiries in person, by phone, and via email regarding Graduate School programs.
- Coordinate with university departments, including Student Business Services and the Registrar’s Office, to support prospective and admitted students.
- Assist with preparing, mailing, and tracking admission decision letters and admit materials.

Work Schedule
Monday - Friday, normal hours are 8:00am - 5:00pm, some evenings and Saturdays.
